Department: NUQ - Qatar Support Office Salary/Grade: EXS/5 Job Summary Reporting to the Manager of the Qatar Support Office, the Program Coordinator oversees a variety of Evanston-based operational functions and initiatives for Northwestern Qatar (NU-Q). Principal responsibilities include business travel arrangements for both internal and external visitors, coordination of weekly mail and shipping services, processing expense reports, invoices, and other financial operations, assisting with NU-Q events and activities on the Evanston campus, assisting with orientation and recruitment for student exchange programs, and maintaining day-to-day office functions and office organization. Program Coordination requires close collaboration with the diverse units at NU-Q and various departments within our partner schools and central administration in Evanston. The Qatar Support Office is a small team that manages a variety of activities for NU-Q, and the office's mission and duties will evolve. - Manages day to day operations.
- Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
- Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives
Budgets & Financial
- Participates in budget preparation.
- Enters individual &/or summary of transactions into journals &/or general ledger or other NU enterprise system.
- Troubleshoots problems; performs vendor/account research as needed; obtains additional information or provides instruction & guidance by phone, US or e-mail from customers/vendors; corrects or escalates
Communication, Outreach & Recruitment
- Strengthens partnerships with external resources by defining, promoting and marketing benefits of participation and involvement to the organization.
- Creates and nurtures relationships with organizations to develop a network of enthusiastic organizations engaged via active participation in the success of program/project.
Evaluation Observes program sessions and interacts with participants for purpose of gaining consumer insight, growing and strengthening program knowledge, and optimizing client satisfaction. Events
- Coordinates programming, educational, student, alumni, workshops, meetings, etc., including speakers, agendas, etc.
- Develops plans and arranges meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
- Ensures that event details, including communication, venues, presenters, travel arrangements, materials, refreshments and technology, are arranged and completed in an appropriate and timely manner.
Strategic Planning
- Participates with area/unit senior staff in the conceptualization, development and presentation of materials used in functional operations.
- Resolves administrative issues (RAS forms, stipends, monitors fellowships, etc.)
- Organizes new student activities.
- Performs other duties as assigned
Minimum Competencies and Qualifications
- Bachelor's degree + 1 year program administration or similar experience; or 3 years program administration or similar experience
- Intermediate knowledge of word processing, spreadsheet, email, programs and familiarity with social networking applications is required.
Preferred Competencies and Qualifications
- Experience with Northwestern financial and operational systems.
- Familiarity with issues in international education and Middle East culture
- Excellent communication, interpersonal, and organizational skills.
Target hiring range for this position will be between $51,346 per year to $65,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
