Role Summary

The CE Ops Project/Program Manager will provide high-level operational, financial, and project management support across the U.S. Customer Engagement Operations (CEOps) function. This role manages end-to-end workflow execution for speaker programs, advisory boards, vendor contracting, purchase orders, accruals, cross-functional coordination, and compliance-aligned operational processes. This contractor will act as a key liaison between CE Ops, Compliance, FP&A, Procurement, IT, and external partners (vendors, IQVIA). The ideal candidate is highly organized, process-oriented, detail-driven, and comfortable navigating complex enterprise systems.

Key Responsibilities

Financial & Contracting Operations

  • Manage CE Ops financial processes, including:
  • Monthly accruals (2nd and 3rd month of each quarter)
  • CE Ops monthly finance reporting
  • Tracking vendor invoices and purchase order (PO) status
  • Partnering with FP&A on financial submissions
  • Submit Work Orders (WO) and Change Orders (CO) via CPAF (Commercial Project Approval Form) system.
  • Review and approve PO requests; ensure accuracy of GL codes, WBS codes, and cost centers.
  • Work closely with Procurement to secure PENs for engagements ?$250k.
  • Track PO lifecycle, initiate manual PO closures via SPARC when required.
  • Coordinate with IT for vendor data security assessments (PIAs, ITSAs).



Speaker Program & Venue Review Operations

  • Manage the end-to-end Venue Review process for Speaker Programs, including:
  • Reviewing and triaging new venue submissions via Smartsheet
  • Applying compliance and business rule criteria
  • Updating the Approved and Do-Not-Use venue lists
  • Requesting updates in Centris and informing IQVIA of changes
  • Utilize pre-defined communication templates to send venue approval/denial notifications to field teams.
  • Partner with Compliance to maintain business rule alignment.
  • Recommend improvements to streamline venue review workflows.



Advisory Board & Consulting Operations Support

  • Support HCP contracting workflows (process management and contract execution steps).
  • Manage advisory board financial reporting and accrual email submissions to FP&A.
  • Maintain trackers for Advisory Board and Consulting engagement financials.



Cross-Functional Coordination

  • Serve as a liaison between CE Ops, Contracts, Procurement, IT Security, FP&A, and extended commercial operations teams.
  • Collaborate with IT Security to obtain up-to-date ITSAs for vendors.
  • Communicate with IQVIA for program updates (venue changes, data sharing requirements, etc.).
  • Ensure compliance across all CE Ops operational workflows.



System & Tool Management

  • Systems used include:
  • CPAF (contract and work order submissions)
  • SAP ERP (invoice approvals, PO tracking)
  • Smartsheet (venue submission workflow)
  • Centris (speaker program venue management)
  • SPARC (manual PO closure)
  • SharePoint (budget trackers, ITSAs, operations documents)



Required Qualifications:

  • 6+ years project or program management experience, preferably in commercial operations, medical operations, or compliance-heavy environments
  • Strong experience with finance operations: POs, accruals, vendor management, contracting workflows
  • Ability to manage multiple concurrent workflows in a fast-paced, highly cross-functional environment
  • Exceptional attention to detail and documentation
  • Strong communication skills; ability to write clear, professional, compliance-ready communications
  • Proficiency in Smartsheet, SAP or similar ERP systems, and enterprise workflow tools



Preferred:

  • Background working in pharmaceutical/biotech organizations
  • Familiarity with speaker programs, HCP contracting, and compliance-driven processes
  • Experience with IQVIA-driven reporting or field engagement data
  • Understanding of data privacy/security assessment processes (PIAs, ITSAs)
