Job Summary: Provides legal administrative support including preparing and editing documents, keeping the calendars, setting up conference calls and meetings, preparing expense reports, creating and editing materials using PowerPoint and Excel, maintaining computerized legal billing system for internal/external needs and services and performing related diversified administrative duties including making travel arrangements, filing, tracking work assignments and updating databases.


Position requires coordinating and effectively communicating with the relevant business teams and all members of the legal department.


Primary Accountabilities:



  • Process invoices for professional services including outside counsel and vendors through coordination with Accounts Payable and preparation of quarterly accrual reports
  • File all signed agreements in appropriate locations and maintain daily tracking of all existing agreement, agreements in process and expired agreements using Excel
  • Create, organize and maintain legal records, books and files; manages proper indexing and filing of legal documents
  • Perform other administrative duties such as providing information to callers, faxing, scanning, copying, and distributing mail and other correspondence
  • Research existing databases for signed agreements and answer basic questions on agreement content
  • Manage all Service of Process and log, notify and distribute as appropriate
  • Assist with preparing Board minutes, complex Board presentations and planning of meetings and calls
  • Assist with corporate governance and legal entity maintenance, both domestic and foreign, activities including obtaining signatures, tracking document progress, notarizations and apostille processes and preparing certifications
  • Make travel arrangements, schedule meetings, conference calls and events, prepare expense reports and maintain calendar appointments and schedules
  • Site administrator for building covering multiple functions (mail, visitors, supplies, etc.)


Qualifications:



  • Associates or Bachelor's degree is preferred


  • 3 years in an equivalent role in a similar corporate operating environment.


  • Excellent computer skills using MS Word, Excel, PowerPoint and other MS Office products, as well as Adobe Acrobat
  • Fully proficient using Outlook and Concur systems
  • Must possess excellent oral and written communication skills to communicate with all levels of the organizations in a thoughtful and compelling manner
  • Must exhibit a high level of discretion, professionalism, maturity and integrity
  • Must be able to prioritize multiple assignments with time sensitive deadlines
