Job Title: Administrative Support Career Level

Location: Portland, OR 97201

Worksite: Onsite | 8:00 AM - 05:00 PM

Responsibilities

As an Engineering Assistant, you will be assisting the engineering lead with administrative engineering tasks that include: maintaining the discipline design package schedule, tracking design reviews sign-offs, reviewing design package checklists for completion, and assist with onboarding and off-boarding design staff with the project team. You will be responsible for document control at the engineering discipline level, interfacing with the overall engineering discipline lead and sub-leads, organizing administrative data, organizing engineering data, interfacing with the project level document control, design automation group and the discipline department managers.

Other duties and responsibilities include but are not limited to the following:

  • Taking meeting notes at discipline organizational meetings.
  • Maintain revision control of discipline tools such as equipment lists, calculations and schedules.
  • Coordinating with the Department Managers to plan the onboarding and offboarding of staff to the project team.
  • Coordinate with the project document control team for the submission of package supporting documents and checklists for each design package submittal.
  • Track design changes
  • Collaborate with other engineering disciplines (engineering teams) to share data
  • Understand and apply the client safety standards in design and everyday activities.
  • Actively cooperate with members of your project task force, client personnel and members of your department, as appropriate
  • Establish a professional relationship with key client personnel with whom you interact
  • Understand project and design team expectations to constantly strive to achieve better results.
  • Meet commitments that you make to the design team, to complete work by certain dates or within agreed effort hour or cost budgets
  • Look for ways to reduce project cost and schedule and for ways to improve our work processes



Qualifications

Here's What You'll Need:

  • Knowledge of document control processes
  • Knowledge and application of company engineering design and document standards
  • Familiarity with project delivery methods that are typical for Architectural/Engineering lead designs
  • Able to organize data
  • Excellent communication skills.
  • Project Management or Engineering background
  • Knowledge and understanding of work / information flow between disciplines
  • Knowledge and understanding of schedule constraints and information requirements for the production of deliverables
  • Able to accurately estimate completion of assigned tasks
  • 2-year technical degree or 4-year non-technical degree
  • This position requires a minimum 10-15 years of relevant experience in project delivery design.
  • Proficient in Microsoft Outlook, Word, Excel and OneNote
  • Good listening, writing and communication skills
