Position Summary

The Knowledge Management Specialist is responsible for developing, implementing, and maintaining strategies, processes, and tools that enable the effective capture, organization, and sharing of knowledge across the organization. This role focuses on assisting with site maintenance, troubleshooting, and helping teams organize and share information effectively. The ideal candidate will have technical experience in MS365 combined with experience in organizational knowledge management, enabling teams to efficiently access, share, and leverage critical business information. This is a hybrid position based out of Odyssey's corporate headquarters in Wakefield, MA required to support from office 3 days per week.



Responsibilities

Duties include, but not limited to:

MS365 Technical Expertise

    Assist with maintaining the SharePoint Online environment, including site structures, permissions, metadata, and governance.
  • Support basic Power Automate workflows to enhance business processes and document management efficiency.
  • Assist with basic reporting and Power BI integrations for data visualization and reporting, ensuring proper permissions and data accessibility.
  • Provide ongoing support and troubleshooting for MS365 applications, ensuring optimal performance and user experience.

Knowledge Management & Collaboration

  • Help organize and maintain content libraries and team collaboration spaces
  • Assist business units with the adoption of enterprise knowledge management strategies that enhance information sharing, content organization, and collaboration.
  • Maintain and improve SharePoint-based intranet and team collaboration sites, ensuring usability and engagement.
  • Establish best practices for document management, content lifecycle management, and version control across MS365 applications.
  • Work closely with business units to design and implement knowledge repositories and digital workspaces to foster collaboration.

Training, Governance, & Adoption

  • Develop user guides, training materials, and documentation to support MS365 adoption and governance.
  • Conduct workshops and training sessions to upskill employees on SharePoint, Power Automate, and other MS365 collaboration tools.
  • Ensure compliance with organizational standards for content quality, security, and accessibility.
  • Act as a liaison between IT, business users, and leadership, ensuring MS365 solutions align with enterprise knowledge management needs.


Qualifications

Citizenship: Must be a US citizen

Minimum Required Qualifications

  • Minimum 4 years of hands-on experience with MS365 tools, including SharePoint, Teams and OneDrive.
  • Basic knowledge of Power Automate for workflow automation and Power BI for data visualization.
  • Experience in knowledge management, information governance, or enterprise collaboration strategies.
  • Familiarity with MS Teams, OneDrive, and other MS365 productivity applications.
  • Experience developing and implementing taxonomy, metadata strategies, and content classification models.
  • Ability to work across technical and non-technical teams to translate business needs into MS365 solutions.
  • Strong willingness to learn and ability to work collaboratively with technical and non-technical teams.
  • Strong communication and training skills, with experience driving user adoption and change management initiatives.

Preferred Qualifications

  • Experience with MS365 security, compliance, and access control frameworks.
  • Familiarity with Microsoft Syntex, Viva Topics, or other AI-driven knowledge management solutions.
  • Certifications such as Microsoft 365 Certified: Enterprise Administrator Expert or Microsoft Certified: SharePoint Administrator Associate are a plus.
