Senior Administrative Assistant (AI Organization)

Our client is seeking a Senior Administrative Assistant to provide high-level administrative support to two senior leaders within an AI-focused organization, as well as their broader teams. This role requires professionalism, discretion, strong judgment, and the ability to operate confidently in a fast-paced, fully remote environment. The ideal candidate is highly organized, responsive, and comfortable managing competing priorities independently while collaborating closely with cross-functional partners. This role supports leaders working asynchronously across time zones and plays a critical role in ensuring smooth day-to-day operations.
Manage complex calendars for two senior leaders, including scheduling across multiple time zones
Coordinate meetings, prepare agendas and materials, capture notes, and track follow-ups
Prepare and submit expense reports and arrange travel as needed
Manage incoming requests and inquiries, routing information appropriately
Support team meetings, offsites, and virtual or in-person events
Assist with drafting or formatting communications, basic research, procurement tasks, and small administrative projects as needed
Partner closely with other administrative professionals, shared services teams, and cross-functional stakeholders
Maintain strict confidentiality and exercise discretion when handling sensitive information
Leverage productivity tools and AI-enabled technologies to improve efficiency and workflow effectiveness
Qualifications:
5-7 years of experience providing administrative support to senior leaders
Proven experience supporting executives in a remote and asynchronous environment
Strong organizational skills with the ability to manage multiple priorities simultaneously
Excellent communication skills and a high degree of professionalism
Proficiency with productivity and collaboration tools such as Google Workspace, Microsoft Office, Slack, Zoom, and expense management platforms
Comfort adopting new tools and technologies, including AI-enabled productivity tools
Strong judgment and ability to work with minimal supervision
Work Schedule:
Monday-Friday, 8:00 a.m.-5:00 p.m. Pacific Time
Candidates must be located in Pacific or Mountain Time zones
This is a 6 month, full-time at 40 hours per week, fully remote. The pay for this W-2 position is up to $34.00-$38.00 per hour, depending on experience and alignment with internal leveling. This position may be eligible for PTO, health and dental insurance, and/or 401(k) benefits upon meeting certain length of service and hours requirements.
