POSITION SUMMARY:

The Strategic Sourcing Coordinator supports Dominium's Strategic Sourcing initiatives by assisting with vendor sourcing activities, RFP execution, bid analysis, contract coordination, and vendor data management. This role works closely with the Strategic Sourcing Leader, internal stakeholders, Contract Administration, and vendors to ensure sourcing processes are organized, efficient, and well-documented. This position is focused on coordination, analysis, and execution support, complementing contract administration and legal functions while helping drive consistency and cost-effective sourcing outcomes.

ESSENTIAL FUNCTIONS:



  1. Supports the preparation, issuance, and administration of RFPs, RFQs, and bid processes.
  2. Coordinates vendor communications and act as a primary point of contact during sourcing events.
  3. Tracks vendor participation, submissions, deadlines, and clarifications throughout the sourcing cycle.
  4. Compiles, organizes, and formats vendor responses for evaluation and comparison.
  5. Assists with bid analysis, including pricing comparisons, scope alignment, and identification of trends or gaps.
  6. Maintains accurate sourcing data, bid matrices, trackers, and audit-ready documentation.
  7. Coordinates with Legal and Contract Administration to support contract execution, renewals, and amendments.
  8. Supports vendor onboarding by collecting required documentation such as insurance, licenses, and tax forms.
  9. Communicates sourcing timelines, updates, and outcomes to internal stakeholders and respond to related inquiries.
  10. Contributes to process improvement by standardizing templates, enhancing workflows, and maintaining organized sourcing records.


QUALIFICATIONS:



  • Associate's degree in Business Administration, Supply Chain, Procurement or a related field; or equivalent combinations of education and experience.
  • 1+ years of experience in sourcing, procurement, contract support, or a related role; preferrable in the property management, real estate, construction, facilities, or multi-site services industry.
  • Proficiency in Microsoft Office, with strong Excel skills preferred.
  • Experience supporting RFPs, RFQs, or vendor bid processes; and Exposure to contract lifecycle or vendor management systems.
  • Experience working in a remote, cross-functional environment.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Analytical mindset with comfort working in pricing and scope comparisons.
  • Ability to manage multiple priorities and deadlines.
  • Professional, collaborative, and service-oriented approach; and is discreet with confidential information.
