Role Purpose

The Program Coordinator - Behavioral Health supports clinical staff in the administration of programs serving individuals with chronic mental illness. This role performs non-clinical operational and administrative functions essential to program success, including scheduling, case setup in workflow systems, recipient support via phone, data entry, and management of records and documentation. The Program Coordinator partners closely with clinicians and support teams to ensure efficient, organized, and responsive program operations.

Essential Duties and Responsibilities
  • Provide administrative and operational support to Behavioral Health clinical teams.

  • Coordinate initiatives, track and monitor progress, and set timelines for delegated assignments.

  • Schedule appointments for recipients with clinical staff and support teams.

  • Set up and maintain cases in workflow management systems.

  • Assist recipients and partners by phone and email, responding to requests and directing inquiries appropriately.

  • Perform complex data entry and data management in clinical and claims systems.

  • Coordinate, organize, and maintain accurate filing systems (electronic and paper).

  • Ensure all records and business-sensitive information are developed, handled, stored, retrieved, and archived in compliance with privacy and regulatory requirements.

  • Develop and maintain documents, reports, templates, and tracking tools.

  • Support documentation requests and ensure timely receipt of required records.

  • Contribute to continuous improvement of administrative processes and workflows.

Education and Experience

Required:

  • Bachelor's degree in a related field, or equivalent combination of education and relevant experience.

  • Minimum of four (4) years of progressive, relevant administrative support experience.

Preferred:

  • Experience working in a Behavioral Health or clinical healthcare setting.
