Overview: The Office Manager is responsible for project payroll, timekeeping, project accounting, cost reports, and scheduled project reporting. The office manager reports to the project manager and liaises with the project superintendent, foreman, safety coordinator, and home office payroll, human resources, and accounting functions.

Primary Responsibilities:

  • Provides administrative assistance for the Project Manager.
  • Reports on work activities and status of subcontractors, materials, and equipment.
  • Supervises onsite administrative staff.
  • Assists the Project Manager to develop, manage, and track project budgets, cost codes, and forecasts.
  • Monitors daily labor, equipment hours, material usage, and subcontractor costs.
  • Administrative management of change orders, subcontracts, and equipment rentals.
  • Selects, evaluates, and oversee subcontractors for specialized tasks (boring, testing, coating, civil, etc.).
  • Ensures subcontractors meet safety, quality, and schedule expectations.
  • Manages processing invoices, progress payments, change orders negotiation, and verify completed work.
  • Maintains onsite database of permits.
  • Compiles turnover documentation packages including redlines, as-builts, testing records, and certifications.
  • Assists conducting project closeout reviews and lessons learned evaluations.

Supervisory Responsibilities:

  • Directs and supervises all welders, welder helpers, and welding support personnel.

Education and/or Experience:

  • High School diploma or equivalent.

Knowledge, Skills, and Abilities:

  • Excellent communication, organization, and leadership abilities.
  • Proficiency in project management software, cost tracking, and scheduling tools.
  • Ability to travel, work long hours, and operate in rugged field environments.
