Job Description

The College of Veterinary Medicine is seeking a highly motivated and experienced Business Manager III to serve as the lead finance and business manager for the Veterinary Medicine & Surgery (VMS) department and the Veterinary Health Center (VHC). This position reports directly to the Business & Finance Officer and plays a critical role in supporting the financial health, operational planning, and strategic decision making of two complex and dynamic units. Key responsibilities include:
- Financial Forecasting & Reporting
- Prepare weekly financial forecasts for the VHC, monitoring trends and performance indicators.
- Develop and distribute monthly financial reports summarizing revenue, margins, caseload activity, and operational outcomes across approximately 20 service units.
- Analyze financial data and provide meaningful insights and recommendations to leadership
- Budgeting & Budget Monitoring
- Lead the annual budgeting process for VMS and VHC.
- Monitor budget performance and identify variances, risks, and financial trends.
- Coordinate with leadership to assess budget implications of staffing, operational changes, and new initiatives.
- Prepare updated projections and communicate adjustments as needed.
- Ensure compliance with university fiscal policies and responsible stewardship of resources.
- Cost Accounting & Fee Review
- Oversee the annual review of fees charged within the VHC.
- Lead and supervise the cost accounting project, ensuring transparency and accuracy in cost methodologies.
- Payroll Management & Effort Alignment
- Monitor payroll allocations to ensure salary and wage expenses are accurately distributed according to effort and operational responsibilities.
- Collaborate with supervisors and HR partners to implement payroll changes when assignments or funding sources shift.
- Maintain documentation to meet audit and compliance requirements.
- Support workforce planning and align staffing with financial capacity.
- Clinical Informatics Liaison & Data Accessibility
- Serve as the primary liaison between the Clinical Informatics team and Finance to ensure financial and operational data is accessible, accurate, and ready for reporting.
- Collaborate with Clinical Informatics to resolve data issues and implement system improvements.
- Communicate reporting needs, data gaps, and system requirements across teams.
- Promote data integrity and consistency across reporting systems.
- Post Award Oversight of Grants & Sponsored Projects
- Oversee post award financial management for grants, contracts, and sponsored projects within VMS and the VHC.
- Review expenditures for allowability, allocability, reasonableness, and compliance with sponsor and university policies.
- Monitor project budgets and spending trends to ensure funds are used appropriately and within authorized project periods.
- Partner with principal investigators to support financial stewardship and compliance.
- Coordinate with Sponsored Programs Administration on reporting, closeouts, and audit readiness.
- Supervision & Team Leadership
- Supervise 1-2 full time staff members and one student employee, providing mentoring, performance feedback, workload management, and professional development support.
- Oversee day to day workflow, ensuring accurate and timely completion of financial, operational, and administrative tasks.
- Foster a collaborative, supportive work environment that encourages growth and continuous improvement.
- Business Operations & Leadership
- Act as a strategic partner to clinical, academic, and administrative leaders.
- Recommend improvements to business processes and operational workflows.
- Build and maintain effective working relationships across departments and central administrative units.
- Support for the Business & Finance Officer
- Assist the Business & Finance Officer with additional responsibilities as assigned.
- Support special projects, initiatives, and analyses that advance the financial and operational goals of the College.
- Provide backup coverage and cross functional support to ensure continuity of business and financial operations.
- Contribute to college level planning activities and problem solving efforts.
- Other duties as assigned.
Shift
This position is Monday - Friday, 8-5 or as scheduled with supervisor. Occasional weekend or evening hours may be required.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- Master's degree in business, healthcare administration, accounting, or a related field.
- Experience in financial forecasting, budgeting, cost accounting, grants management, or healthcare financial operations.
- Strong analytical and communication skills with the ability to present complex information effectively.
- Leadership and relationship building skills.
- Supervisory experience preferred.
- Experience in an academic, veterinary, or healthcare environment is highly desirable.
Anticipated Hiring Range
Salary Range: Hiring range begins at $65,000 annually and is commensurate with experience Grade: GGS-011 University Title: Manager III Business Administration Internal applicants can determine their university title by accessing the Talent Profile tile in myHR.
