Overview
USU Extension in Carbon County is seeking a motivated, organized, and positive individual to join our team as a Staff Assistant II in Price, Utah. This position is scheduled Monday through Friday from 9:00 am to 5:00 pm, with a one-hour break from 12:00 pm to 1:00 pm, for a total of 35 hours per week. Evening or weekend work may be required on rare occasions. The ideal candidate is self-motivated and able to independently manage a wide range of administrative responsibilities while maintaining a helpful, professional, and service oriented attitude when working with faculty, staff, volunteers, and community members.

Responsibilities
  • Perform standard office duties including digital office and document management, copying and scanning, editing, mailing, email correspondence, calendaring, filing, and spreadsheet management.
  • Maintain and reconcile routine accounting records, generate monthly budget reports, track county and university purchases, and submit billing and claims for payment.
  • Respond promptly and professionally to information requests, office visits, phone calls, emails, and written correspondence.
  • Create invoices and ensure accounts receivable processes, receipting, and deposits are completed accurately and in compliance with university and county policies.
  • Serve as a liaison with county staff to complete requests such as maintenance, information technology work tickets, and printer service requests.
  • Prepare a variety of reports including financial summaries, enrollment data, event reporting, and travel documentation.
  • Ensure digital storage of vital records is accurate and kept up to date.
  • Maintain accurate and current event calendars.
  • Assist faculty and staff with event logistics and purchasing supplies for programs and office activities.
  • Develop materials to support community outreach, including educational resources, signage, event advertising, and informational content for social media.
  • Manage communication with program participants through mailings, flyers, newsletters, emails, phone calls, social media, and registration platforms such as Eventbrite.
  • Support and assist the public with 4-H enrollment and event registration using the ZSuite database, including creating event listings, approving registrations, generating reports, and exporting data.
  • Assist with new hire onboarding processes including I-9 part two completion and action forms.
  • Attend required trainings and departmental meetings to remain current on USU policies and procedures.
  • Maintain the county fair entry program and assist with Extension and 4-H responsibilities during the county fair.
  • Provide additional administrative support to faculty, staff, and volunteers as needed during regular office hours.


Qualifications
Minimum Qualifications
  • Two years of experience in an office setting; or completion of an associate degree; or adequate vocational training.
  • Strong computer skills with proficiency in office software such as Word and Excel, and the ability to learn design tools like Canva or Adobe programs, social media and marketing platforms, and online registration systems.
  • Flexibility to assist with rare evening or Saturday events.
  • Must have access to reliable transportation to and from work site.

Preferred Qualifications
  • Bachelor's degree.
  • Four years of experience as an administrative assistant.
  • Strong budget tracking and financial organization skills.
  • Positive attitude and strong work ethic.
  • Attention to detail with an eye for clean, professional, and visually appealing materials.
  • Strong editing and proofreading skills.
  • Familiarity with Cooperative Extension services.
