Position Description

Performs specialized, complex work to assist in the organization and implementation of various projects and programs. Work is performed under supervision within established guidelines with performance based on overall results obtained.

Major/Essential Functions

System Administration & Workflow Management

  • Administers the facilities work order system from request intake through completion, including data entry, validation, updates, and quality control.
  • Reviews, analyzes, and prioritizes submitted work requests; creates, routes, and tracks work orders for timely resolution.
  • Maintains system accuracy and data integrity to ensure compliance with documentation and reporting standards
  • Manages system access and permissions in accordance with role-based requirements and internal controls.
  • Develops and maintains process documentation, job aids, and training materials related to system workflows.
  • Trains new and existing staff on system functionality, standards, and procedures.

Reporting, Data Analysis & Planning Support

  • Develops and maintains operational reports including work orders, vandalism activity, parts usage, inventory tracking, and project data.
  • Analyzes historical data to identify trends, recurring issues, and performance insights.
  • Prepares management summaries to support operational planning and service level monitoring.
  • Assists with compiling the annual Planned Maintenance Report and other recurring reports.
  • Monitors key metrics to support continuous process improvement.

Communication & Service Coordination

  • Serves as the primary point of contact for work order-related inquiries.
  • Provides accurate, timely, and professional information to customers, callers, and visitors.
  • Coordinates communication related to outages, shutdowns, and service disruptions.
  • Escalates complex or high-impact issues as appropriate.
  • Maintains strong working relationships with internal stakeholders.

Cross-Functional Coverage & Continuity

  • Provides cross-coverage for the Purchasing Administration role during absences and peak periods.
  • Maintains working knowledge of purchasing systems and procurement processes.
  • Collaborates to align shared procedures and documentation.
  • Supports business continuity and operational resilience.

Required Qualifications

High school plus five years experience. Additional education may substitute for experience on a year for year basis.

Pay Statement
