Candidate Qualities

We are seeking a diligent and organized Administrative Assistant to provide comprehensive support to the CIE department. The ideal candidate will excel in customer interaction, possess exceptional organizational skills, and demonstrate proficiency in scheduling appointments and managing administrative tasks efficiently. This role is crucial in ensuring the smooth operation of the department and facilitating effective communication both internally and externally.

Job Outline

  • Serve as the primary point of contact for inquiries, both in person and over the phone. Provide courteous and professional assistance to clients, visitors, and students, addressing their queries promptly and directing them to the appropriate personnel when necessary, as well as facilitating tours.
  • Manage calendars, scheduling appointments, meetings, and conference calls. Coordinate with internal and external parties to arrange appointments, ensuring optimal use of time and resources.
  • Assist in the preparation of documents, reports, presentations, and correspondence as required. Maintain accurate records and files, ensuring information is organized and easily accessible.
  • Facilitate communication between department staff and external stakeholders. Relay messages, follow up on action items, and ensure timely responses to inquiries.
  • Maintain office supplies inventory and reorder supplies as needed. Keep the office environment tidy and organized for optimal efficiency.
  • Assist in the planning and execution of departmental events, including meetings, workshops, and conferences. Coordinate logistics, such as room booking, catering, and audiovisual equipment setup, to ensure successful outcomes.
  • Input data accurately into relevant databases or systems. Maintain confidentiality of sensitive information and adhere to data protection policies and procedures.

Pay/Hours

$18.00/hr.

Hours will range between 9am-5pm.
