Overview

What You Will Do

As a Documentation Supervisor, you will lead the Documentation team responsible for the creation, organization, and delivery of submittal documentation including engineering drawings, technical specifications, test documents, and proposal materials. You will assist the Documentation Specialist Lead scheduling, quality control, and workflow efficiency to ensure that all documentation meets internal standards and customer contract requirements.

A Typical Day at Prime Controls

    Works hand-in-hand with the Documentation Specialist Lead to lead and supervise a team of documentation specialists, providing coaching, direction, and support.

  • Helps schedules and coordinate requested time off within the department.

  • Assists the Documentation Specialist Lead with the planning, coordination, and execution of document submittals in alignment with project timelines.

  • Serve as the primary in-office liaison between project managers, engineers, CAD, and field teams to define documentation requirements.

  • Serves as the primary in-office documentation representative for internal project kick-off meetings and foot traffic.

  • Assists the Documentation Specialist Lead to ensure quality control and compliance with customer and regulatory standards.

  • Enters data, scans, prints, copies, and binds as required for submittal preparation.

  • Coordinate printing, binding, scanning, and delivery logistics for documentation packages.

  • Resolve issues related to document formatting, printing hardware, and software.

  • Assists the Documentation Specialist Lead to monitor and track project milestones to ensure on-time documentation delivery.

  • Manage office supplies and tools necessary for document production.

  • Provides input for process improvements and participates in department initiatives.

  • Serves as the primary interdepartmental liaison between Production and the Panel Design Departments to assist the panel construction process.

What You Will Bring

The Basic

  • Proven experience leading or supervising a documentation, administrative, or project support team.

  • Strong organizational and time-management skills.

  • Working knowledge of document control software and office productivity tools.

  • Excellent communication and interpersonal skills.

  • Ability to manage multiple projects and competing priorities effectively.

The Preferred

  • Associate's degree or higher in Business, Communications, or a related field.

  • 2+ years in a supervisory role within a documentation or administrative function.

  • Familiarity with engineering or technical documentation processes.
