In support of this mission, the Program Coordinator manages the daily operations of a leadership research and education program focused on early-career scientists. Serving as a primary point of contact for students, faculty, and internal partners, this role ensures the effective execution of program activities. While the Principal Investigator (PI) maintains overall academic direction and budget oversight, the Coordinator provides the essential programmatic, administrative, and financial support necessary to meet institutional and funding goals.

Key Responsibilities Program Operations & Execution

  • Provides direct support to the Principal Investigator (PI) in the execution of project activities, ensuring alignment with the program's mission and timeline.
  • Supports the implementation of the training curriculum by scheduling sessions, coordinating logistics (room bookings, AV, catering), and preparing instructional materials.
  • Maintains program schedules and tracks progress against established goals, identifying potential delays and suggesting solutions to the PI.
  • Acts as a liaison for instructors and facilitators to ensure they have the resources needed for successful delivery.

Grant & Financial Administration

  • Assists the PI with managing the program budget, including tracking expenditures, processing reimbursements, and monitoring fund availability.
  • Ensures all program activities and expenditures comply with university policies and external funding agency regulations.
  • Prepares drafts, data visualizations, and supporting materials for technical and financial reports required by institutional or funding entities.

Participant Recruitment & Enrollment

  • Manages the recruitment lifecycle, including coordinating outreach, managing application materials, and facilitating communications with prospective participants.
  • Coordinates onboarding and enrollment processes for accepted participants, ensuring a seamless transition into the program.
  • Contributes to an inclusive community by ensuring recruitment and outreach efforts reach a diverse pool of potential participants and partners.

Data Management & Evaluation

  • Supports program evaluation and analysis by collecting, organizing, and maintaining data related to participation, feedback, and outcomes.
  • Utilizes (e.g., Banner, CRM, or Learning Management Systems) systems to maintain accurate records and generate performance metrics.

Marketing & Engagement

  • Assists with marketing efforts, including drafting newsletters, updating program web pages, and managing social media presence.
  • Supports program events and collaborates with other GWSB departments to foster a cohesive academic environment.
