As a Building Services Project Coordinator, you will play a key role in supporting daily facilities operations across IDEXX's cuttingedge commercial campuses, including our 900,000 sq. ft. Global Headquarters in Westbrook, ME, as well as the Thomas Drive and Scarborough locations. You will coordinate and schedule the work of for the Building Services Technicians, handling 5-15 work orders per day while ensuring timely, highquality support for building repairs, office setups, equipment moves, and internal events. Working within a collaborative, customerfocused environment, you'll partner with Engineering, Operations, and other departments to manage a wide range of facility needs across modern, highperforming sites. What You Will Be Doing
Serve as the primary coordinator for daily work orders submitted through ServiceNow, ensuring timely review, response, and followup. Schedule, assign, and prioritize work for the Building Services Technicians. Collaborate with Engineering to determine project scope, feasibility, and required support.
Provide daytoday leadership, coaching, and oversight to a team of four technicians. Troubleshoot issues involving office furniture, carpentry, painting, basic IT (including data line troubleshooting), doors/hardware, and workspace setups. Manage and coordinate equipment scheduling, furniture moves, office configurations, and facilities support for internal events. Handle a variety of facility requests, including:
Maintain accurate documentation within CMMS system Maximo. Communicate with internal departments to set expectations, align timelines, and ensure customer satisfaction. Manage 5-15 work orders per day with strong organization and followthrough. Coordinate small facility projects and vendor activity as needed. Manage stock inventory, including ordering and purchasing.
What You Need to Succeed
Trade background strongly preferred (carpentry, painting, basic IT, office furniture systems, doors/hardware). Prior leadership or supervisory experience required. Strong project coordination or project management experience. Ability to troubleshoot basic IT/data line issues. Experience scheduling equipment, furniture, or facilitiesrelated tasks. Excellent communication, collaboration, and problemsolving skills. Strong customerservice mindset with the ability to work crossfunctionally. Proficiency in Outlook and Excel required. Experience using CMMS platforms (Maximo, SAP, or similar) preferred. Ability to manage 15-20 work orders a day in a fastpaced environment. Valid driver's license.
