First Supply is seeking a skilled Office Coordinator to assist the Regional Accounting and Operations Manager & DC1 Manager with day-to-day operations, human resources, accounting and administrative duties. An excellent Office Coordinator is, above all, service focused, organized and great with communication. Responsibilities

Essential Job Functions:

    Answer incoming calls
  • Greet visitors and direct them appropriately
  • Sort and process incoming and outgoing mail
  • Ensure accuracy of timecard information
    • Enter corrections into the timecard system and notify ROAM of final approval
  • Assist with accounting functions for Distribution center
  • Assist with month end balancing of ledger accounts
  • Code & submit expense invoices to Accounts payable, including UPS & FedEx billing
  • Scan & upload receiving PO's
  • Provide back-up for routine billing both direct and inter-company direct
  • Ensure all office equipment is installed properly, maintained & in proper working condition.
    • Order necessary supplies: paper, labels, toner cartridges: all building & office supplies
    • Maintain security and telecommunication systems
    • Obtain and supervise repair and maintenance contracts for the building
    • Maintain conference and/or training room calendars: Assist in ordering food for meetings & events
    • Complete New Employee onboardings & submit all paperwork to HR
  • Coordinate safety meetings (maintaining safety binder compliance)
  • Other duties as assigned by the Regional Accounting and Operations Manager, DC1 Manager, Operations Manager or General Manager

Essential Job Requirements:

  • High School Diploma or equivalent required
  • Experience in general office/clerical work and multi-line telephone system
  • Experience in Accounting (preferred)
  • Computer knowledge and skills particularly with Microsoft Office and Excel
  • Demonstrated organizational skills
  • Satisfactory score on the Wonderlic Personnel Test
  • Ability to read, speak, understand and write English
  • Ability to add, subtract, multiply and divide all units of measure
  • Ability to be bonded as defined by First Supply LLC's fidelity bond insurance carrier
  • Attendance on a regular and consistent basis
