EXECUTIVE ASSISTANT

THE ROLE:

We are searching for an experienced Executive Assistant to support an Engineering executive and their associated team. In this role, you will partner closely with other executive assistants both within and outside the team, and you will regularly interact with various levels of management and employees. The environment is dynamic and collaborative, requiring someone who is proactive and detail oriented.

THE PERSON:

The ideal candidate will have a proven track record of supporting a high level or C-suite executive and be adept at interacting with employees across all levels of an organization. Success in this role will require exceptional organizational and multi-tasking skills, along with the ability to handle sensitive and confidential information.

KEY RESPONSIBILITIES:

  • Calendar Management: Own and manage executives' calendars, prioritizing appointments and scheduling meetings to optimize time and productivity.
  • Travel Coordination: Arrange domestic and international travel, including reservations, itineraries, and logistics; prepare and submit expense reports in a timely manner.
  • Stakeholder Interaction: Interface with Law Department administrators, Executive EAs, clients, and team members; organize and support monthly social events for the Austin office.
  • Communication Management: Send out periodic email reminders to legal teams or clients regarding various reporting needs.
  • Contract Administration: Facilitate the electronic signature process for contracts, input contracts into the contract management system, and ensure accurate record-keeping.
  • Financial Reporting: Collaborate with the finance team to support end-of-quarter contract reporting and other financial tasks as needed.

PREFERRED EXPERIENCE:

  • Executive-Level Support: Direct work experience supporting executive-level leaders, with a proven ability to manage complex tasks and relationships.
  • Administrative Expertise: Demonstrated proficiency in executive administrative support at a senior level, with a strong ability to prioritize tasks and meet deadlines.
  • Technology Proficiency: Advanced skills in office automation tools and software, including PowerPoint, Excel, Word, and SharePoint.
  • Collaboration Skills: Ability to collaborate effectively with different levels of management, customers, and employees, ensuring smooth communication and the timely completion of tasks.
  • Judgment & Initiative: Strong ability to exercise sound judgment, take initiative, and adapt to changing priorities with a high degree of flexibility and responsiveness.

ACADEMIC CREDENTIALS:

  • Bachelor's Degree or equivalent level of experience
