MINIMUM QUALIFICATIONS:

Education:

High School or equivalent

Experience:

Minimum two years' experience in medical supply chain and/or two years' experience/knowledge of products and/or processes related to supply chain.

Licensure/ Registration/ Certification:

None.

Knowledge, Skills and Abilities:

  • Fluent written, oral, and interpersonal communication skills

  • Strong hands-on knowledge of information systems and computers; Microsoft Excel, word, outlook and Lawson or other ERP

  • Excellent communication and demonstrated interpersonal skills

  • Ability to manage time and prioritize work to meet deadlines

  • Ability to establish positive working relationships with staff

  • Strong organizational skills and ability to assess and resolve problem situations in a timely manner to address department needs

  • Highly self-motivated and self-directed with keen attention to detail

PREFERRED QUALIFICATIONS:

Bachelor's degree

Experience:

Two years of previous experience in a healthcare inventory coordinator role.

Valid driver's license and the ability to be insured to drive via Regions Hospital standards and policies

POSITION SUMMARY STATEMENT:

Responsible for managing the inventory and distribution processes for supply chain operational supported locations. Manages workflow to ensure that the department is productive and operates efficiently. Coordinates all daily activities related to keeping accurate inventory levels in assigned locations. Communicate issues as they arise with leadership in both supply chain and supporting departments. Performs duties as assigned which may be interdepartmental or organizational wide in scope. May work at various sites based on need.

MAJOR JOB DUTIES AND TASKS:

Oversee and coordinate distribution area or group

  1. Works independently and is the owner of their assigned areas

  1. Fills in for department supervisors and managers when absent and/or on weekends and holidays

  1. Monitors the daily distribution process making sure all customer needs are being met

  1. Connects with doctors, nurses and department leaders daily about their service needs

  1. Research discrepancies and takes necessary actions as issues arise

  1. Works with department supervisors, purchasing and key stake holders to identify product substitutions for backordered items

  1. Follows-up with procurement, supply chain staff and customers concerning issues or discrepancies in a timely manner

  1. Assigns staff in conducting recalls, documents and coordinate return of recalled product

  1. Leads weekly inventory cycle count activities for the storeroom, run reports, assign staff to count and reconcile

  2. If supporting an SCS operational area, may do other functions such as copy center, copier support, linen, mail

2. Establishes and maintains effective par levels of medical, equipment or supplies for assigned area or group

  1. Stock and inventory supplies needed to maintain inventory PAR levels in various hospital and clinic departments

  2. Meets regularly with supporting departments to review usage and make recommendations related to supply chain distribution and processes

  1. Develops, implements, and monitors strategies for supply cost reduction and utilization management.

  1. Reviews all appropriate reports to ensure accuracy of daily orders processed, supplies received, and back orders supplemented.

  1. Monitors reorder points and makes appropriate changes when necessary

  1. Reviews inventory turns and makes recommendations for inventory adjustments

  1. Accurately places orders via handheld

  1. Monitors expiration dates utilizing FIFO

LEADERSHIP RESPONSIBILITIES:

Provides daily direction, support, orientation, and training to the Supply Chain Services Associates and Specialists. They have designated staff that report to them for assistance and direction. They will provide feedback on their work that is used for performance evaluations They will also be designated lead on duty for evenings, weekends and holidays.

PHYSICAL REQUIREMENTS:

Please list any physical requirements necessary for the performance of this job (e.g. lifting, carrying, stretching, sitting or standing for long periods of time). Please specify details such as number of pounds expected to lift, number of hours must be spent on feet, etc.

Must be able to lifts up to 50 pounds and push carts daily while moving supplies, linen or equipment. Must be able to stand and walk for extended periods of time.

ENVIRONMENTAL CONDITIONS:

Please list unusual environmental conditions, if any (e.g. extremely cramped quarters, noise, fumes, gases, extreme heat/cold, etc.).

General working conditions, but the dock area can be warmer in the summer and sometimes cooler in the winter as well as dustier.
