Yerba Madre is hiring a full-time Inventory Specialist to support our production and inventory management operations. This team member will own key data entry, inventory tracking, and systems configuration tasks across NetSuite, Smartsheet, Excel, and vendor portals. The role requires a detail-oriented, analytical, and proactive professional who can ensure accuracy and traceability throughout our supply chain workflows

How you'll help:

Systems Management & Configuration



  • Set up and maintain assembly builds and work orders in NetSuite.


  • Define and enforce accurate Bills of Materials (BOMs), WIP tracking, and component usage.


  • Troubleshoot and resolve build errors, mismatches, or configuration issues.


Inventory Control & Accuracy



  • Maintain accurate lot/serial number tracking and traceability in NetSuite.


  • Manage records and adjustments related to spoilage, scrap, or damaged goods.


  • Support ongoing cycle counts and reconciliations.



Data Entry & Documentation



  • Validate vendor invoices against purchase orders and expected quantities/charges.


  • Monitor co-manufacturer portals for documentation and verify receipt accuracy.


  • Save, organize, and maintain digital records of receipts, invoices, and production documents.


  • Update shared project files (Smartsheet, Excel) with real-time status and inventory changes.


  • Record ingredient consumption and reconcile against inventory balances.


Cross-Functional Collaboration



  • Liaise with co-packers to verify documentation and correct errors in data or transfers.


  • Collaborate with Accounts Payable to ensure invoice matching and proper cost allocation.


  • Proactively communicate discrepancies, delays, or issues to internal team contacts.



Process Improvement & Optimization



  • Identify inefficiencies in build, inventory, and data entry workflows.


  • Recommend and support implementation of automation or workflow enhancements.


  • Champion accuracy, traceability, and operational efficiency across tools and processes.


what you'll provide:



  • 2-4 years in inventory control or production operations within CPG/food & beverage or a co manufacturing environment, with daily hands on ERP use (ideally NetSuite) and ownership of inventory accuracy and traceability.


  • Associate Degree in Supply Chain, Operations, Accounting, or related field; BA/BS a plus. Exposure to food safety/traceability concepts (HACCP/FSMA) is advantageous given the emphasis on lot/serial tracking and ingredient reconciliation.


  • Ability to analyze inventory and production data in Excel (lookups, pivots, data validation), spot inconsistencies, and translate findings into clear action.

TRAVEL & PHYSICAL REQUIREMENTS:



  • Primarily office based; required to commute onsite 3 days per week.


  • Occasional travel 1-2 times per year for trainings, audits, or vendor/co packer visits.


  • Ability to lift and move light boxes and materials as needed (typically under 25 lbs).

The pay range for this role is an estimate based on a wide range of compensation factors; actual pay offered may vary based on (but not limited to) work experience, education and/or training, critical skills, and/or business considerations. Sales commissions and/or variable pay plans are also offered depending on the position (ex: monthly, quarterly, annual bonuses). Salary Range

$65,000 - $81,000 USD
