We're looking for an Executive Assistant to support leaders within the Customer Success organization. In this role, you'll provide high-level administrative and strategic support to senior leaders, helping drive operational excellence, organization, and efficiency across the team. The primary goal of this role is to serve as a strategic partner to leadership, ensuring the department operates at peak performance.

As an Executive Assistant, you'll partner with executive stakeholders and partner with cross-functional teams to manage a wide range of leadership initiatives and executive operations. Use your adaptability, proactive mindset, and exceptional judgment to drive organizational impact and successful task completion.

This position reports to the Manager, Executive Assistants and will be based in our Carpinteria, CA, Austin, TX, Tampa FL, offices or remotely within the US. We're looking for someone to join us immediately.

What You'll Do

  • Provide comprehensive administrative and operational support to Customer Success executives, including calendar management, email coordination, meeting logistics, travel planning, and expense reporting.

  • Anticipate and proactively identify more effective and efficient ways to manage administrative tasks with professionalism and care.

  • Self-identify and autonomously handle high-impact projects while maintaining confidentiality and discretion.

  • Manage a variety of confidential and sensitive special projects which may have a broad organizational impact.

  • Proactively prioritize deadlines and conflicting needs and handle matters expeditiously to successful task/project completion.

  • Oversee the coordination and tactical planning for events and meetings, including preparing meeting content and presentation materials.

  • Communicate directly and professionally on behalf of Executives with their direct reports, senior leadership, customers, and partners.

  • Collaborate and partner effectively with all executive stakeholders as well as high-profile customers, partners, and associates

What We're Looking For

  • Bachelor's degree or equivalent work experience and 3+ years experience in an administrative support role at the executive level.

  • 2+ years experience using Slack, Google Workspace, and Concur.

  • Exceptional calendar management skills, including the coordination of complex and distributed multiple participant executive meetings.

  • Professional written and verbal communication skills with strong attention to detail.

  • Experience with complex executive company travel.

  • Exceptional organizational and decision-making skills.

  • Approachable demeanor with outstanding social and communication skills.

  • Demonstrated professionalism and ability to maintain the highest level of confidentiality.

Additional Information

Base Pay Range:

59,904.00 - 82,368.00 USD Annual

This role may also eligible for Equity Compensation. Procore is committed to offering competitive, fair, and commensurate compensation, and has provided an estimated pay range for this role. Actual compensation will be based on a candidate's job-related skills, experience, education or training, and location.
