Job Title: Customer Compliance/Service Portal Coordinator

Location: Nilfisk Brooklyn Park/Plymouth, MN

Department: Service Operations

Reports To: Lindsey Urban, Service Operations Supervisor

Overview

This position is primarily responsible for supporting the completion of annual and ad hoc customer compliance questionnaires and related documentation. This role will work closely with internal subject matter experts (SMEs), specifically US EHS, Service and HR leadership, to gather accurate information, compile responses, and ensure timely submission of compliance materials to customers.

Estimated Time Requirement: 35%-50% time allocation January - April, 10% rest of year

This position will also be responsible for coordinating with customers and third-party service partners to provide required information, such as invoices, work order updates, etc. through their portals and Nilfisk's dealer community portal. Other service ops duties will be assigned to this individual by the Service Operations Supervisor, based on department and customer needs.

Key Responsibilities

  • Coordinate and manage the process for completing customer compliance questionnaires, surveys, and documentation requests.

  • Create and maintain a database of question responses and documentation, understanding when information is current and can be supplied to another customer questionnaire, and when it needs to be updated by an internal subject matter expert.

  • Communicate with internal, responsible SMEs in areas such as Quality, EHS, IT Security, HR, and Operations to collect required data and ensure completeness and accuracy.

  • Review questionnaire content for clarity, consistency, and compliance with company standards before submission.

  • Track progress of open requests and maintain organized records of submissions and customer communications.

  • Manage deadlines and follow up with internal stakeholders to ensure timely completion.

  • Understand the service-related needs of customers, colleagues and service partners and respond accurately and on time.

Qualifications

  • Associate or bachelor's degree preferred, or equivalent administrative experience.

  • 2+ years of administrative, coordination, or customer documentation experience; experience in manufacturing or regulated industries is a plus.

  • Strong organizational and time-management skills with the ability to handle multiple requests simultaneously.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with document management or CRM systems (e.g., Salesforce, SharePoint).

  • Detail-oriented, resourceful, and comfortable working cross-functionally.

Pay Range $25.19-$31.49 per hour.

The estimated range indicates the expected hourly pay for this position. It does not include potential bonus incentives such annual or performance bonus' as well as sales and sales related incentives, or overtime. The actual pay offered may vary based on several factors, including the applicant's qualifications, relevant experience, unique skills, education level, certifications or licenses, differentials, and the location from which they will work. The final pay determination will comply with state or local minimum wage laws applicable to the job's location. We may ultimately pay more or less than the posted range. This range may be modified in the future.
