As a result, we are in the unique position to offer a full-time position for a Project Assistant & Office Coordinator to join our Architecture & Building Engineering group at our Denver, CO office location. The needed role is part project assistant and part office coordinator for our Architecture, Sustainability, and Commissioning teams, offering a dynamic and exciting opportunity for the right individual.

Project Assistant responsibilities include:

  • Preparing pre-contract items such as start-up forms in Vision and Microsoft AEC 360 software, risk management items (insurance, W-9 forms, etc.), and coordinating project set-up
  • Assisting project managers with preparing project schedules, contract coordination, invoice narratives, resource planning, and providing status updates on project milestones
  • Compiling financial documents such as contracts, scope of services, proposals, prebills and closeouts.
  • Assisting with business development lead generation and tracking
  • Coordinating RFI and submittal responses with project teams
  • Other tasks as assigned.

Office Coordinator responsibilities include:

  • Ordering and managing office supplies and equipment
  • Greeting employees and visitors at the front door
  • Coordinating mail distribution and shipping
  • Organizing office meetings and taking minutes
  • Handling badge orders, security coordination and access controls
  • Submitting and following up on tickets for office maintenance issues
  • Managing electronic files
  • Planning, coordinating, and setting up office events
  • Other tasks as assigned.

A valid driver's license and occasional travel may be required.

The successful candidate must have the following:

  • An associate degree (or higher) in an administrative assistant program or related field from an accredited college or university
  • At least 4 years of relevant office experience, of which at least 2 years of experience working in the AEC industry in an administrative capacity

OR

  • If no degree, must have at least 6 years of relevant office experience, of which at least 2 years of experience working in the AEC industry in an administrative capacity.

The ideal candidate will have any/all the following:

  • Experience proofing/editing project contracts
  • Experience with project set-up in financial and project software (AEC 360 preferred)
  • Experience preparing schedules and resource planning using Microsoft Project, Microsoft Teams, (or similar) project management software
  • Proficiency in Microsoft Suite (Outlook, Word, Excel, and PowerPoint)
  • Software experience with Deltek e (Vision & Ajera), Adobe, Microsoft Suite, Newforma, Bluebeam, with In-Design a plus.
  • File management software experience (such as Newforma)
  • Adaptable attitude to take on tasks large or small
  • Contributor to the positive culture of the office
  • Quick learner
  • Experience or familiarity with generative AI-driven tools, platforms, or systems (e.g., Microsoft Copilot, ChatGPT, Claude, Gemini) to enhance productivity, automate tasks, and reduce errors.

Hourly Rate Range: $29.00 to $35.00 - Actual compensation may vary due to other factors such as: experience, skill set, or location.
