Summary: We are seeking a highly organized and detail-oriented Sr. Executive Assistant (Sr. EA) to provide comprehensive administrative support to the Chief Business & Strategy Officer, three senior Corporate Strategy leaders and the Executive Director, Program Management Office & Corporate Analytics. This role is essential to ensuring operational excellence through calendar and travel coordination, administrative support, and smooth cross-functional communication. The Sr. EA will manage day-to-day logistics with precision, enabling leaders to operate efficiently and stay focused on strategic goals. This individual serves as a thought partner and operational extension of executive leadership - providing expert administrative support, anticipating needs, and independently managing priorities with discretion and strategic foresight. The Sr. EA acts as a trusted partner to leadership, enabling them to focus on high-level strategic initiatives.

This role is full-time and located in Waltham, MA. This role is predominantly on-site with the expectation of working in the office on average 3-4 days per week.
Roles and Responsibilities:
- Calendar & Scheduling: Proactively manage heavy, dynamic calendars across five senior executives, ensuring efficient time management and prioritization; monitor executive schedules to identify potential conflicts by understanding priorities and preferences; provide timely suggestions to resolve issues and ensure smooth calendar management.
- Meeting Management: Assist in preparation for executive meetings: prepare and distribute agendas, briefing materials, presentation support and meeting logistics for internal and external engagements, and track action items.
- Travel Coordination: Plan and manage complex domestic and international travel arrangements, itineraries, and accommodations.
- Expense Management: Prepare, submit, and track expense reports with accuracy and timeliness in compliance with company policies.
- Communication & Liaison: Build and maintain strong relationships across all levels of the organization, serving as a liaison between executives, leadership teams, board members, and external partners.
- Administrative Support: Draft correspondence, manage documents, and provide general administrative support; order catering and office supplies for meetings and team events as needed; assist with preparation of POs, invoice processing and contract management.
- Project Support: Provide light project management support, as needed, to ensure smooth execution of team initiatives.
- Serve as a strategic thought-partner, anticipating needs and proactively identifying and addressing scheduling, communication, or workflow conflicts before they arise.
- Draft high-quality communications, presentations, and reports.
- Manage highly sensitive information and maintain strict confidentiality.
Qualifications
- Bachelor's degree preferred.
- 5+ years of experience supporting senior executives, experience with C-suite or Board level preferred.
- Strong business judgment and ability to operate with a high degree of autonomy and discretion.
- Proven ability to manage ambiguity and drive high impact outcomes
- Exceptional organizational, project management, and problem-solving skills.
- Advanced proficiency in Microsoft Office Suite and collaboration tools (Teams, Zoom, etc.).
- Experience with Concur or other travel/expense management systems preferred.
- Self-starter with the ability to anticipate needs and solve problems proactively.
- Strong interpersonal skills and ability to influence and collaborate effectively at all levels.
- Proven track record of handling sensitive information with discretion.

Pay Information: Base salary for this role will consider multiple factors, including but not limited to, candidate qualifications, relevant expertise, specialized skills, and industry experience in complement-targeted therapies. The targeted base salary range for this position is $94,000-$141,000. This range represents the base salary only and reflects Apellis' commitment to competitive compensation within the biopharmaceutical industry. The final salary offered may vary based on individual qualifications, business needs, and current market conditions.
