Job Title: Vehicle Operations Logistics Specialist

Location(s): Mt Juliet, TN

Position Summary
The Vehicle Operations Logistics Specialist is responsible for coordinating and managing the transportation of customer vehicles within an assigned region. This role ensures accurate order processing, carrier accountability, margin optimization, and timely delivery performance while maintaining strong relationships with auction teams, carriers, and clients.

Key Responsibilities
Transportation & Dispatch Management

  • Make real-time outbound calls (recorded line) to verify vehicle status with pickup locations.
  • Investigate carrier VIN kickbacks and facilitate re-dispatch.
  • Follow up daily with carriers on assigned VINs.
  • Negotiate dispatch rates with a strong understanding of margin impact.
  • Monitor transportation holds, verification delays, cancellations, and ETA updates.
  • Hold carriers accountable to agreed service plans.
  • Manage escalated Client Success VINs in coordination with peers and agents.

Systems & Order Processing

  • Enter manual orders and process AS400 system orders.
  • Monitor and correct order entry failures throughout the day.
  • Maintain and correct master data files (location errors).
  • Process fees and post assessorial charges.
  • Request Hold Harmless agreements and Releases.
  • Action AutoIMS updates for transportation delays and status changes.

Data & Reporting

  • Compile transportation-related data and generate reports.
  • Measure vendor and client performance using analytics.
  • Track margin performance relative to targets.
  • Report performance results to senior management and executive leadership.

Relationship & Vendor Management

  • Build and maintain relationships with auction commercial teams and management.
  • Manage vendor corrective action processes.
  • Collaborate across multiple regional email inboxes.
  • Provide excellent customer service in a high-volume environment.

General Responsibilities

  • Work independently in a matrix environment.
  • Demonstrate urgency and strong problem-solving skills.
  • Perform additional duties as assigned by supervisor.

Required Qualifications

  • 1-3 years of administrative experience (automotive industry preferred).
  • Proficiency in Microsoft Excel, Outlook, and Word.
  • Strong written and verbal communication skills.
  • High attention to detail and precise data entry skills.
  • Ability to multitask in a fast-paced, dynamic environment.
  • Strong customer service orientation.
  • High School Diploma or equivalent.
  • Valid Driver's License.
  • Ability to pass background check and drug test.

Preferred Qualifications

  • Some college education.
  • 1+ year experience in transportation, logistics, or automotive auction operations.
  • 1+ year experience in sales or call center environment.

Work Location

  • Candidates may be based at any regional automotive auction or vehicle remarketing site within the assigned territory.
