PROPOSAL COORDINATOR

DEPARTMENT: Marketing & Proposals

REPORTS TO: Proposal Director and Manager


JOB SUMMARY

The Proposal Coordinator supports KEMRON's Marketing and Proposal team by coordinating proposal schedules, compliance, content collection, and document production. This role helps deliver compliant, well-produced proposals and related materials on time, working with technical staff, senior management and leadership, as well as external clients and JV partners.

PRIMARY RESPONSIBILITIES

  • Coordinate proposal kickoff activities: outlines, compliance matrix, schedule, assignments, review cycles, and production plan.
  • Track task status and drive follow-through with contributors; flag risks early.
  • Maintain file control and version discipline; manage folders and naming conventions.
  • Perform report processing and production: Word formatting (styles, headers/footers, pagination), layout cleanup, and final assembly.
  • Produce submission-ready PDFs using Adobe Acrobat Pro (combine, optimize, bookmarks, hyperlinks, accessibility/tagging as required, final QC).
  • Proofread and QC for grammar, consistency, and compliance with RFP/RFQ instructions.
  • Maintain and update proposal library content (resumes, project sheets, boilerplate, templates, forms, past performance).
  • Coordinate graphics requests and integrate graphics into draft and final documents.
  • Support smaller proposals/qualifications packages and marketing deliverables as assigned.
  • Support proposal submissions (portal uploads, file packaging, print coordination when needed).


INTERNAL PROMOTION ELIGIBILITY

  • Current KEMRON employee in good standing.
  • Demonstrated ability to meet deadlines, manage details, and support cross-functional work.
  • Comfortable handling multiple priorities during peak proposal periods.


REQUIRED QUALIFICATIONS

  • 2+ years of experience supporting proposals, reporting, marketing production, or document-intensive project work.
  • Strong Word skills: formatting, styles, tables, section breaks, pagination, templates.
  • Adobe Acrobat Pro proficiency for PDF production and final assembly.
  • Report processing/production experience (formatting, QA/QC, and producing submission-ready documents).
  • Strong proofreading, grammar, and attention to detail.
  • Professional communication and follow-up skills; able to work with technical staff and leadership.
  • Proficiency with Microsoft Office (Word, Excel, Outlook; SharePoint/Teams preferred).
  • Ability to work prolonged periods at a computer with sustained attention to detail.
  • Ability to manage stress under pressure and maintain quality while working against tight deadlines.


PREFERRED QUALIFICATIONS

  • Government contracting proposal experience (federal/state/local).
  • Familiarity with compliance matrices and RFP/RFQ interpretation.
  • Experience with procurement portals and electronic submissions.
  • Adobe Creative Suite (InDesign/Illustrator/Photoshop) experience.
  • Basic graphics coordination (working with designers, placing graphics, managing captions/refs).


WORK LOCATION / SCHEDULE

  • Atlanta-based or remote (U.S.), availability aligned to Eastern Time business hours is preferred.
  • Standard business hours with flexibility during submittals.
  • Occasional after-hours/weekend work during critical deadlines.


PHYSICAL DEMANDS

  • Extended computer work, including repetitive use of keyboard/mouse and prolonged screen time.
  • Requires sustained focus for detailed document review, formatting, and quality checks.
