*Intake Specialist* The Intake Specialist plays a critical role in supporting patient care by accurately entering referral information, coordinating documentation, and maintaining strong communication with referral sources, patients, and internal teams. This position requires exceptional attention to detail, strong analytical skills, and the ability to navigate a fastpaced healthcare environment while ensuring compliance with payer and regulatory guidelines.
This role supports operations across *Wisconsin, Indiana, Missouri, and Illinois*. *Key Responsibilities* *Referral Processing & Data Entry* * Accurately enters all referrals into the appropriate systems within established timeframes, consistently meeting productivity and quality standards. * Selects correct inventory and service codes in key databases to ensure accurate order setup. * Reviews medical records for non-sales-assisted referrals to confirm compliance and qualification prior to service delivery. * Navigates multiple online EMR platforms to obtain required clinical documentation. *Communication & Coordination* * Communicates with referral sources, physicians, and clinical staff to obtain necessary documentation and ensure it is routed to the appropriate signers for timely completion. * Works collaboratively with local branch leadership to confirm proper equipment and services are assigned for each referral. * Partners with the sales team to gather additional documentation and strengthen referral source relationships. * Contacts patients when documentation is incomplete or non-compliant, providing updates and discussing alternative options. * Answers incoming calls promptly and provides excellent customer support. *Payer Compliance & Patient Financial Communication* * Serves as a subject-matter expert on payer guidelines; accurately interprets clinical documents to determine qualification and compliance for equipment and services. * Works closely with community referral sources to secure compliant documentation quickly and efficiently. * For non-Medicaid patients, clearly communicates financial responsibility, collects payments, and documents the process in the patient record. * Collaborates with the verification team to ensure accurate insurance information and payment confirmation. *Additional Support* * Assists with other regional intake and administrative functions as needed. * Follows company processes and philosophies to determine appropriate shipping methods for service delivery. *Required Qualifications* * *High School Diploma or equivalent* * At least *1 year of experience* in one or more of the following: * Healthcare administration * Insurance or medical claims * Billing * Call center or customer service * Financial counseling * Any related role in a Medicare-certified HME, IV, or home health environment *Skills & Competencies* * Strong customer service orientation * Experience with inbound/outbound call handling * Accurate data entry and order processing * EMR/EHR system navigation * Ability to research and analyze clinical and payer requirements * Excellent organizational and multitasking skills * Technical proficiency and comfort working across multiple systems * Close attention to detail and documentation accuracy *Job Type & Location* This is a Contract to Hire position based out of Elmhurst, IL. *Pay and Benefits*The pay range for this position is $20.00 - $22.00/hr.
