Intake Specialist - Job Description Experience Level: Intermediate Supporting Regions: Wisconsin, Indiana, Missouri, and Illinois Position Summary The Intake Specialist is responsible for ensuring a smooth and compliant referral process for patients across multiple states. This role requires exceptional accuracy, strong customer service skills, and the ability to interpret clinical and payer documentation. The Intake Specialist manages data entry, communicates with referral sources and patients, coordinates service and inventory needs, and utilizes multiple EMR systems to gather required information. This position is essential to ensuring timely, compliant delivery of healthcare services. Key Responsibilities * Enter patient referrals accurately and within established timeframes while meeting productivity and quality expectations. * Communicate with referral sources, physicians, and their staff to obtain signatures, documentation, and any missing information needed for processing. * Select and enter the appropriate referral type, inventory, and services into the correct system based on patient needs. * Collaborate with local branch leadership to confirm correct equipment, supplies, and services. * Provide support to regional teams as needed. * Communicate financial responsibility to nonMedicaid patients, collect payment, and document transactions in the patient record. * Review medical records for nonsalesassisted referrals to ensure payer compliance prior to service delivery. * Apply expert knowledge of payer guidelines to determine qualification status and compliance for all services and equipment. * Coordinate with community referral sources to obtain compliant documentation and keep the referral process moving. * Contact patients when documentation does not meet payer requirements, provide updates, and offer alternative options. * Work with the sales team to obtain required documentation and support referral source relationships. * Navigate multiple EMR systems to obtain clinical documentation and required patient information. * Collaborate with the insurance verification team to ensure accurate information is exchanged and billing requirements are met. * Follow company procedures to determine the appropriate shipping method for equipment delivery. * Answer phone calls promptly and provide highquality assistance to callers. Skills & Competencies * Customer service excellence * Retail, call center, inbound/outbound call handling * Order entry & data entry accuracy * Analytical and research skills * Attention to detail * Strong written and verbal communication * EMR navigation & technical aptitude * Ability to prioritize and manage multiple tasks * Ability to work independently and follow detailed procedures * Healthcare administrative or insurance experience Required Qualifications * High School Diploma or equivalent * Minimum 1 year of experience in healthcare administration, insurance customer service, claims, billing, call center, or a related field * Experience in a Medicare-certified HME, IV, or home health environment is strongly preferred Job Type & Location This is a Contract to Hire position based out of Elmhurst, IL. Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
