Job Summary
The Field Logistics Assistant provides administrative and coordination support to the field logistics team. This role assists with maintaining schedules, tracking materials, preparing documentation, and communicating routine logistics updates to internal teams. The position focuses on accurate data entry, documentation, and information flow while learning logistics processes and systems.
Responsibilities
Essential Functions * Provides administrative support to the logistics project team by supporting communication and information flow between vendors, project management, materials, and field personnel. * Supports vendor communication by gathering delivery updates and helping maintain current delivery schedules as directed. * Relays logistics updates and delivery changes to on-site personnel under guidance to support timely receipt of incoming materials. * Assists with maintaining job schedules and project records, including updating databases with current project and material status information. * Helps verify that required specifications and documentation are recorded for jobs in progress, escalating discrepancies as needed. * Supports teamwork and collaboration by sharing information promptly and responding to routine requests. * Provides courteous, responsive support to internal teams and customers by addressing questions or routing inquiries appropriately. * Attends construction and team meetings as needed to take notes, track action items, and distribute follow-up information. * Prepares and distributes draft two-week look-ahead schedules compiled from customer job information for review. * Prepares and distributes weekly material status reports using provided data and templates. Non-essential Functions * Assists with data cleanup, and document management. * Participates in training related to logistics systems, safety requirements, and procedures. * Performs other administrative or support duties as assigned.
Qualifications
* High school diploma or equivalent required; post-secondary education preferred. * Prior administrative, customer service, or logistics support experience required. * Comprehensive knowledge of product lines and applications and alternative product substitutes preferred. * Proficiency in Microsoft Office (Excel, Word, Outlook). * Familiarity with logistics, supply chain, or construction environments preferred. * Ability to read, write, and speak English required, bilingual a plus.
Skills and Abilities
* Strong organizational skills with attention to detail. * Basic proficiency in Microsoft Office (Excel, Word, Outlook). * Ability to follow established procedures and instructions. * Effective written and verbal communication skills. * Ability to work collaboratively in a team environment. * Willingness to learn logistics processes, systems, and terminology.
