Role: HR Dispatcher
Salary: $50,000-$55,000/year
Location: Long Island City

Job Description:

The HR Dispatcher works under the direction of the HR Supervisor and supports the corporate and field operations teams in managing the assignment of janitorial replacement team members across various work sites. This role also provides administrative support across the HR and Operations departments.

This position requires someone who is highly organized, responsive, and comfortable working in a fast-paced environment with changing staffing needs.

Key Responsibilities
  • Operate the main Operations department reception line in a professional and courteous manner.
  • Document all absences of full-time employees (sick, personal, leaves, etc.) and extra labor requests, and promptly assign temporary replacement employees as needed.
  • Communicate replacement assignments clearly and promptly with field operations and clients, as needed.
  • Coordinate the exit process for terminated employees, including collection of uniforms, ID cards, and other company property.
  • Assess temporary staff performance and identify both positive and negative performance trends.
  • Escalate labor or client concerns to the HR Supervisor / HR Management team as needed.
  • Generate temporary contact lists through Access.
  • Research timekeeping discrepancies and resolve issues with field teams and Payroll.
  • Track, log, and distribute employee checks on a weekly basis.
  • Analyze payroll reports (including active no-hours and labor distribution reports) and conduct audits to ensure accurate staffing, classifications, and employee record maintenance.
  • Research stop-payment requests and process them as needed.
  • Partner with the Payroll team in a professional and collaborative manner to resolve payroll-related issues in compliance with company policies and legal requirements.
  • Provide backup support for the main Operations department reception line when needed.
Qualifications
  • High school diploma required; college degree in Human Resources or related field strongly preferred.
  • Minimum 2 years of administrative experience, preferably in HR and/or staffing.
  • Fluency in Spanish is required.
  • Strong English communication skills (written and verbal).
  • Ability to work effectively in a high-volume, fast-paced environment and manage multiple phone lines.
  • Ability to work well both independently and as part of a team.
  • Strong Microsoft Office skills required, including advanced Excel proficiency.
  • Experience with Microsoft Excel is required.
Schedule
  • Hours: 6:00 AM-3:00 PM or 9:00 AM-6:00 PM
    • Final schedule is pending confirmation.
    • This person must be comfortable commuting to the office for either shift, as they may provide coverage for both schedules during vacation periods.

Fully in-office role:
This position supports a fast-moving HR/Operations function with regular communication across field teams, payroll, and internal departments.

  • the individual's skill sets, experience and training;
