Description
A Brief Overview The Procurement & Fleet Specialist is responsible for managing the organization's purchasing activities and overseeing the company's fleet operations in conjunction with and under the direct supervision of the Procurement Director. This role ensures cost-effective procurement of goods and services while maintaining compliance with company policies and optimizing fleet performance, and cost efficiency.
What you will do
- Oversees the acquisition, maintenance, and disposal of company vehicles.
- Enforces fleet policies (Safety, driver eligibility, usage, fuel card controls) and preventive maintenance schedules.
- Monitors fleet performance metrics such as fuel consumption, maintenance costs, downtime, and utilization insights.
- Provides approvals for service provider repairs, inspections, and compliance with regulatory requirements including titling and registration.
- Advises management on equipment program direction and issues, including procurement through manufacturer fleet based programs.
- Reviews fleet-related budgets and identify opportunities for cost optimization.
- Maintains fleet management system to ensure records are current.
- Oversees and monitors vehicle maintenance records to ensure that the fleet is maintained in accordance with established standards and that policies and practices are properly followed.
- Oversees compliance with GPS software on company vehicles.
- Assists in development and implementation of procurement strategies to support organizational goals.
- Manages vendor relationships to ensure quality, cost-effectiveness, and timely delivery.
- Monitors inventory levels & usage rates and coordinates with internal teams and outside suppliers to forecast demand.
- Ensures compliance with procurement policies, legal requirements, and ethical standards.
- Analyzes market trends and identifies opportunities for cost savings.
- Manages analytics dashboards (Power BI/Excel) for procurement and fleet to track spend and programmatic savings.
- Builds and distributes monthly reporting to drive spend visibility across the company.
- Supports spend management and savings reports tied to projects and build out of inventory management platform.
- Supports buildout and tracking of KPIs across suppliers and facilitate data for QBRs and supplier meetings.
Qualifications
- Associate's Degree Preferred and
- Bachelor's Degree Supply Chain Management, Business Administration, Logistics or Related Preferred
- 4-6 years Procurement or Supply Chain Management Required and
- 1-3 years Fleet Management or Transportation Operations Preferred
- Strong organizational skills with the ability to multi-task and meet deadlines.
- Familiarity and working knowledge of vehicle maintenance, collision repair, systems, components, and design.
- Must possess excellent communication, analytical, and problem-solving skills.
- Strong Vendor Management Skills.
- Proficiency in ERP systems and Microsoft Office Suite.
- Knowledge of procurement best practices and fleet management systems.
- Requires a detail oriented, independent thinker who has ability to be a part of a team and demonstrates strong attention to detail, and demonstrate knowledge of fleet service practices and procedures and equipment processing and ordering.
- Must demonstrate excellent written and verbal communication skills and interpersonal skills, particularly the ability to communicate effectively with all levels of management and vendors.
