About the Job

The Business Office Associate at the University of Minnesota Rochester (UMR) works part-time (80% position) to support the Business Office functions. As a member of the financial resources team at the University of Minnesota Rochester (UMR), this position is point of contact for numerous functions supporting the financial oversight of the campus. This role supports accounts payable activities, reconciliations and budget management activities under the direction of the Business Office Manager and Senior Director for Finance and Facilities.

The Business Office Associate will report to the Business Office Manager on the Finance and Campus Resources team with respect to personnel matters, training opportunities and performance evaluation. Reporting may include both orally and in writing to the Business Office Manager and within the policies and regulations of the University of Minnesota. The individual is free to set priorities with little supervision.

This position works in-person in Rochester, MN. This role is not eligible for H-1B or Green Card sponsorship.

Key Responsibility Areas

Accounts Payable: 50%

  • Process and prepare all invoices for Rochester campus prior to submission to Financial Operations (FinOps). Responsibilities include:
    • Determining the validity of the invoice/voucher, the account used and departments the voucher should be paid against, and if the voucher is related to a purchase order
    • Determining if the voucher is consistent with services or goods received
    • Entry into the University's payment/ticketing system after ensuring all documentation received
    • Communicating with UMR employees and FinOps team members as well as external suppliers to respond to inquiries and request additional information
    • Troubleshooting as necessary
  • Oversight and management of monthly transaction list to ensure all invoices received and processed; initiate follow up with suppliers as necessary
  • Serve as campus resource for financial policies and procedures and determination of next steps

Budget & Financial Management: 40%

  • Analyze and monitor assigned budgets to ensure they appropriate managed and present recommendations to management when concerns arise
  • Oversight and management of documentation of campus specific financial processes and policies
  • Oversight and management of contract master list to initiate renewal or termination of existing agreements
  • Monitor and track expenditures on Chancellor's Central Officers/VP Account and provide assistance with assembling yearly report for President's Office
  • Prepare reports as requested
  • Quarterly/monthly reporting of sales tax collected
  • Fee verification of assigned course fees each semester
  • Serve as back up for payroll deduction set up and associated reconciliations

Reconciliations: 10%

  • Management and oversight of month-end account reconciliation for all chartfield strings to ensure compliance with University policies and procedures
  • Review, analyze, monitor, and reconcile financial activity for all campus sponsored and non-sponsored funds to ensure appropriate fund usage
  • Reconcile/resolve inconsistencies in financial reporting
  • Oversight and reconciliation of procurement card (PCARD) transactions for assigned individuals
    • Intercultural Center
    • Chancellor's Office

Hours and Work Location

This position is expected to work 32 hours per week (80% position), with flexibility for remote work. The associate is expected to be on campus at least 50% of the scheduled time.

Qualifications

Required Qualifications

  • BA/BS degree or a combination of related education and work experience to equal four years
  • Ability to interact with standard technology (word processing, spreadsheets, email, chat and internet)

Pay and Benefits

Pay Range: $25.72 - $26.00 ; depending on education/qualifications/experience
