Job Summary
The Leave Management Specialist is responsible for administering employee leave and absence programs from initiation through closure, ensuring accurate records and compliance with applicable policies and legislation. This role provides high-quality, consistent support in a high-volume service center environment, guiding employees through leave processes, facilitating return-to-work procedures, and maintaining confidentiality while delivering an exceptional employee experience. Job Responsibilities
Provide guidance on leave of absence policies, procedures, and applicable legislation.
Receive, process, and track all leave requests accurately.
Assess and adjudicate leave claims, ensuring documentation is complete and compliant.
Coordinate with Payroll and Benefits to ensure accurate pay and benefit enrollment for employees on leave.
Authorize return-to-work based on physician documentation, job requirements, and departmental guidelines.
Assist employees in navigating the return-to-work process and accessing appropriate benefits.
Log all interactions and transactions in the case management or leave management system.
Follow standardized processes for handling inquiries, transactions, and requests.
Maintain employee privacy and protect sensitive information in accordance with company policies.
Participate in ongoing training to remain current with policies, legislation, and system updates.
Actively seek knowledge through self-guided learning and documentation to improve proficiency.
Job Requirements
3-5 years of experience in leave management and/or employee benefits administration.
3-5 years of experience in a call center or service center environment.
Strong customer service skills with a professional and service-focused approach.
Excellent oral and written communication skills.
Experience with HR or case management systems (e.g., portals, HCM platforms).
Attentive listening skills and ability to ask probing questions for effective problem-solving and issue escalation.
Exposure to HR functions including policy, compensation, employee relations, benefits, and performance management.
Detail-oriented with the ability to manage multiple tasks simultaneously.
Proficient in Microsoft Word and Excel.
Dependable, adaptable, and willing to learn in a dynamic environment.
Team-oriented with a positive attitude and collaborative approach.
