Position Summary
As a member of the Office of Medical Education & Evaluation, the person who holds this position will take primary responsibility for all clerkship, elective, sub-internship, and M3/M4 faculty assessment of student forms and communication to students, faculty, and staff as it pertains to these documents. This person will provide administrative support to data monitoring programs within the Office of Medical Education and Evaluation and collaboration with members of the Office of Student Affairs to ensure development of student portfolios is accurate and accomplished in line with deadlines for accrediting bodies and national programs. This person will maintain all records as required for accreditation purposes and collaborate with college wide departments for data sharing and analysis. This person will also maintain certification with prometric for computer based testing examinations in the CBT center for both UIC developed exams, NBME, and USMLE exams.

Duties & Responsibilities

  • Phase 2 (M3/M4) student assessment records
  • 1. Coordinates faculty grading procedures for all M3/M4 and students.
  • 2. Constructs and maintains a log of M3 & M4 student schedules and their faculty preceptors.
  • 3. Develops and generates individual faculty evaluation of student instruments and distributes them to the appropriate faculty preceptors; makes recommendations for modifications to existing forms.
  • 4. Develop and/or participate in processes for utilizing new technology to improve access for students and faculty to participate in the grading process.
  • 5. Uses good judgment in ensuring, to the degree possible, that the evaluation instruments are completed and student grades are assigned according to the protocol established with each of the academic departments.
  • 6. Makes recommendations regarding the procedures involving the processes of assigning, distributing, receiving and recording evaluation instruments.
  • 7. Uses discretion in handling sensitive and confidential information regarding student evaluations.
  • 8. Monitors and coordinates the flow of information regarding student performance from multiple faculty at multiple clinical sites.
  • 9. Communicates effectively with faculty regarding completion of student evaluation forms._x000d_ _x000d_
  • 10. Perform other duties as assigned.
  • Student Records
  • 1. Collaborates with local registrar to maintain academic records for all current students._x000d_
  • 2. Updates each student's file when grades and/or exam scores become available.
  • 3. Uploads student grades into the Oracle, Apex, or other databases and runs queries as requested; uploads student grades onto the student transcript.
  • 4. Serves as the contact person for students, faculty and staff who wish to review the academic records of all students and ascertains that access to these files is in accordance with University guidelines and the Family Educational Rights and Privacy Act of 1974 (FERPA). Answers questions regarding FERPA regulations, as requested.
  • 5. Provides information from student files for letters of recommendation, upon written request.
  • 6. Serve as a main point of contact for the Office of Education Affairs on the Chicago campus for data sharing on accreditation metrics.
  • 7. Collaborate with the Office of Student Affairs to provide files for career counseling and creation of a students residency application.
  • 8. Perform other duties as assigned.


  • Minimum Qualifications

    1. High school diploma or equivalent.
    2. Any one or combination totaling four (4) years (48 months), from the categories below:
      1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
        • 30 semester hours equals one (1) year (12 months)
        • Associate's Degree (60 semester hours) equals eighteen months (18 months)
        • 90 semester hours equals two (2) years (24 months)
        • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
      2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.


    Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.

    Preferred Qualifications
    • Experience using multiple interfacing platform systems
    • Experience with educational technology or record keeping software systems
    • Experience with excel for data tracking and reports
