DEPARTMENT OVERVIEW

UC Systemwide Procurement is the $10B+ procurement and supply chain engine for the University of California system. We collaborate with campus procurement leaders to design and execute systemwide sourcing strategies that leverage UC's scale to optimize spend, elevate service quality, and drive measurable social and environmental impact. Systemwide Procurement is a high-performing, strategic organization of about 50 professionals in sourcing and category management, data analytics, procurement technology, communications and operations, committed to a continuous improvement culture. POSITION SUMMARY

The Program & Project Management Intern provides administrative and analytical support to the Program and Project Management team during a transition to a new program/project management framework and the implementation of Atlassian Jira and Confluence. Under general supervision, the intern assists with documentation, process development, tool configuration support, and related project coordination activities. The position is designed to provide hands-on learning while contributing to departmental improvement initiatives, following established procedures and guidance.

Responsibilities

Essential Duties and Responsibilities

  • Assist in documenting program and project management processes, standards, and workflows

  • Support the development and refinement of project and program intake forms

  • Assist with the organization and configuration of projects and workflows in Atlassian Jira, under supervision

  • Support the creation, organization, and maintenance of documentation in Confluence

  • Compile and organize project-related data, documentation, and reference materials

  • Assist with process improvement efforts related to project tracking, reporting, and intake

  • Participate in meetings and take notes or summarize discussions as needed

  • Prepare draft materials, summaries, or presentations related to internship work and learning outcomes

  • Perform related duties as assigned in support of program and project management operations

  • Develop familiarity with industry-standard project management tools and systems

  • Learn how organizational frameworks, processes, and governance structures support effective project delivery

  • Build professional skills in documentation, analysis, communication, and stakeholder coordination

Required Qualifications

  • Enrollment as an upper-division undergraduate or graduate student at a University of California campus

  • Coursework in project management, business administration, information systems, operations, or a related field

  • Strong written and verbal communication skills

  • Strong organizational skills and attention to detail

  • Ability to learn new systems and tools quickly

  • Proficiency with standard office software (word processing, spreadsheets, presentation tools)

Preferred Qualifications

  • Coursework or familiarity with project management methodologies

  • Experience with or exposure to Jira, Confluence, or similar project management tools

  • Experience with process documentation or workflow mapping

  • Interest in program/project management or operations-related career paths

Education

  • High school graduate and/or equivalent experience/training

SPECIAL CONDITIONS

This position is eligible for a hybrid work arrangement. The person hired will be required report on-site at the UC Office of the President (UCOP) located in Oakland, CA on Tuesdays and Wednesdays, subject to change. The person hired must reside in California.
