SUMMARY OF POSITION: A Request for Proposal (RFP) Writer should demonstrate commitment to delivering distinctive service. This position will be responsible for leading and managing the development of responses to formal Requests for Proposals (RFPs), Requests for Information (RFIs), and informal proposal requests for all Pinnacle products and services (Treasury Management, Trust & Wealth Management, Health & Benefits, and others as needed). The RFP Writer will work with a cross-functional team comprised of financial advisors, treasury management advisors and analysts, trust advisors, trust specialists, and a variety of subject matter experts to respond to proposal requests. To excel in this role, the Proposal Writer must have experience with responding to solicitations, and be able to translate complex technical solutions, strategies, and win themes into easily understandable, readable, and compelling content. Through support, coaching, and guidance this position directly influences other team members who are involved with a Request for Proposal. The Proposal Writer must be able to create concise RFPs that respond to client needs; research bid requirements and address how Pinnacle meets, exceeds, or has exceptions to the requirements; customize RFP responses based on client needs; collaborate effectively with subject matter experts; and prepare proposals by gathering and formatting information, writing drafts, and completing final edits. PRIMARY RESPONSIBILITIES:
- Provide distinctive service to clients and prospects, in person and over the telephone. Respond to client inquiries and satisfactorily resolve client issues. Support firm-wide achievement of the three-ring standard (all phones answered by a live person within three rings).
- Conduct proposal kickoff meetings with key partners. Share the RFP documents with the proposal team members and facilitate the strategy call to discuss the opportunity, approach, plans, and logistics associated with producing a winning proposal.
- Guide proposal team members on RFP assignments and timelines. Set expectations for proposal team on assignments, schedules, objectives, guidelines, rules, and deadlines for their sections of the proposal.
- Monitor work product produced by proposal team members. Review proposal team materials, including design, writing, graphics, to ensure quality and on-time delivery. Provide feedback to team members on how to improve work products to ensure a winning proposal.
- Engage in problem-solving where necessary. Address issues with products, services, schedules, technical solutions, and other factors that affect the proposal and sales process. Track and monitor progress on issue resolution. Escalate issues through the proper channels where appropriate to do so.
- Lead or facilitate team work sessions or meetings associated with the proposal. These may include meetings regarding strategy or competitive analysis, business solution planning, problem-solving, routine status, and group reviews of proposal.
- Monitor procuring agency or entity communications channels (web, etc.) for changes to the procurement requirements or schedule. Analyze changes; work with management to determine the appropriate course of action; communicate changes to the team. Make corresponding modifications to proposal plans as needed and execute the new plan.
- Manage proposal design, formatting, graphics development, production, assembly, and QA processes as included within the defined scope of work. Ensure a cohesive look-and-feel for proposal work products that complies with RFP requirements, client guidelines, and Pinnacle style rules and branding.
- Assists with the maintenance of the online proposal library. Help develop customizable boilerplate content to make the proposal process as seamless as possible. Include new and updated responses in the online proposal library as received through the RFP process. Help to ensure content remains current through collaboration with subject matter experts and periodic database reviews.
- Assist with set-up and tracking of RFPs. Establish the appropriate case folders on the shared drive with RFP documents and include case information in the RFP Tracking Report.
- Coordinate the final proposal delivery. Coordinate the final production, packaging, and delivery of proposal, whether completed locally or by the RFP Team.
- Meet all the client's financial needs, both business and personal, and refer clients to other specialty areas such as Trust, Investments, Insurance, Treasury Management, etc. as appropriate.
- Assist other team members as needed to ensure delivery of distinctive service.
- Perform other related duties and responsibilities as assigned.
DESCRIPTION OF EXPERIENCE, EDUCATION, AND TRAINING:
- High School Diploma or Equivalent - College degree is preferred.
- Minimum of 10 years' experience in technical proposal writing, editing, preparing, and editing RFPs.
- Proficient in Microsoft Office (Word, Excel, and PowerPoint) or related software.
- Broad knowledge of bank products, services, and operations.
- Knowledge of federal and state banking regulations and compliance requirements as it relates to RFPs.
- Working knowledge of or ability to learn software systems for RFP Management, i.e. Qvidian or similar.
- Working knowledge of AI enabled tools, such as Copilot.

- Must be flexible, multi-task and prioritize daily tasks, with effective time-management skills to meet competing priorities in a deadline driven environment.
- Excellent client service skills. Tact and diplomacy in dealing with both clients and team members.
- The physical activities of this job include but are not limited to the ability to stand and sit for prolonged periods of time, use of manual dexterity, verbal communication, visual acuity, repetitive motion, and the ability to hear. Often long periods of mental concentration are required. Other activities are the ability to bend, climb, balance, stoop, kneel, crouch, reach, walk, push, pull, lift, and grasp.
