The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Reporting to the Director of Global Engagement and Associate Director of Alumni Engagement, the Coordinator, Global and Alumni Engagement assists in the planning and execution of Alumni Relations programs, events, communications, meetings and outreach. The Coordinator's primary area of responsibility is to manage the marketing and logistical needs of global clubs and alumni groups, assist in fostering new alumni global/group communities, provide NationBuilder support to volunteers (the communications platform used by clubs and groups) and lead the Global and Engagement Team's Giving Day efforts. The Coordinator also facilitates collaborations and horizontal integration across the various units within University Alumni Relations and with other partners. The incumbent is responsible for supporting quality programming targeted to the various global clubs and alumni groups and possesses strong organizational, interpersonal, program management, event planning and computer skills, and is able to adopt new technology platforms. The Coordinator is also the alumni relations liaison for global contacts and various club leaders in domestic and international markets. This role will also work with the Director of Global Clubs to help grow the alumni community's leadership, engagement, volunteer management and outreach. Additionally, this individual will liaise with Alumni Group leaders in the planning and execution of events, programs and communications. Responsibilities
- Provides email marketing and content management expertise for burgeoning clubs and groups on NationBuilder platform.
- Manages planning, logistics, communications and budgeting for alumni events and programs including, but not limited to, coordinating with and managing volunteers, venue research, vendor relationships, purchase orders, registrations and attendees.
- Independently travels to alumni events and programs, to meet with volunteers and alumni as a CAA representative and to oversee onsite logistics.
- Responsible for creating custom infographics for our 100+ global clubs and groups.
- Ensure that all volunteer, alumni activity, contact information, and event related data is recorded in Athena by the Administrative Assistant for Global and Alumni Engagement to maintain our Alumni Lifetime Metrics Analysis (ALMA) model in order to achieve our engagement goals and objectives.
- Responsible for identification of new potential leaders, and supports efforts of volunteer succession in conjunction with Alumni Management Team and senior volunteer leaders.
- Manages student workers to maintain and update alumni, club, and event related data, alumni profiles and other projects as requested.
- Collaborates with the alumni relations team to produce Columbia Alumni Association signature events throughout the year. This will include playing an integral role in the execution of the Columbia Alumni Leaders Experience by collaborating on the development of educational and social programs, as well as facilitating a positive experience for alumni participants traveling to campus from around the world.
- Manages project and team budgets in collaboration with the team's senior management, administration and operations staff as needed.
- Plans and facilitates one-on-one/group training sessions for staff and alumni volunteers related to club management software (NationBuilder).
- Organizes and manages meetings to connect alumni leaders across all global clubs and shared interest groups to share best practices, goals, strategies and insights with other volunteer leaders.
- Responsible for managing club and alumni group leader communications including a monthly newsletter.
- Responsible for maintaining the global club and alumni group Volunteer Communication Handbook and works closely with our volunteer leaders to develop social media plans, and digital content needs for the volunteer leaders
- Performs other duties and special projects as assigned.
Minimum Qualifications
- Bachelor's degree and/or equivalent with two (2) years of related experience.
- Prior experience with the use of management information systems and/or customer relationship management systems and a fundamental understanding of working in a complex environment required.
- Excellent organizational, interpersonal, oral and written communications skills, including a high level of attention to detail and active listening skills.
- Must be able to problem-solve and troubleshoot, in addition to the ability to work independently in a dynamic team environment.
- Demonstrated ability to effectively partner with staff and alumni volunteers from diverse backgrounds.
- Must have a passion for excellent customer service and commitment to exceptional quality.
- The successful candidate possesses an ability to work well with all levels of management, both internally and externally, be flexible in nature, and has sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization.
Preferred Qualifications
- Previous experience working in an academic environment is preferred.
- Knowledge of alumni relations strongly preferred.
- Prior experience in email marketing, social media and customer relationship management (CRM) systems preferred.
- Experience managing and developing events, programs, and volunteers is desired.
Other Requirements
- Independent travel will be required.
- Some night and weekend work is to be expected.
- Subject to business needs, the Office of Alumni Relations and Development supports a hybrid work arrangement for this position. Options will be discussed during the interview process.
