Position Summary
The grad hourly position supports overall departmental administrative needs. This position provides support and coordination/management of departmental units on office reorganization and space maintenance (Head's Office, ATU, DDFC, IDHD, Great Lakes ADA, OSA, individual faculty).

Duties & Responsibilities

  • Reviewing items for surplus and disposal and preparing related forms
  • Scanning and filing paperwork related to office moves, clean-up
  • Supporting upkeep of clinic records
  • Set-up and maintenance of patient treatment areas
  • Computer decommissioning, purchases, and coordinating payment and set-up
  • Coordinating office/classroom/clinic move schedules
  • Coordinating undergraduate General Office Assistants
  • Assist in event planning, set-up, and clean-up for DHD, AHS, and outside entities using DHD-run spaces
  • Taking inventory of and assisting with supply purchases
  • Coordinating and communicating with catering vendors
  • Room reservations, key access
  • Gathering information and creating presentation materials
  • Working with a business office
  • Ensure smooth operations of classroom and conference room technology, working with AHS IT to troubleshoot issues as they emerge
  • Assists Head with gathering and preparing report drafts, faculty/staff awards, P & T dossier forms
  • Communicates department needs to facilities management (working with BSW staff for cleaning requests mandated by faculty union)
  • Covers office reception when Assistant to the Head is unavailable or during her work-from-home days
  • Assists with Head's office communication: social media, physical bulletin boards, and website maintenance
  • Perform other related duties and participate in special projects as assigned.

    Must be enrolled as graduate student at the University of Illinois at Chicago.
