Job Summary

The Business Operations Coordinator, reporting into Finance, functions as the Bethpage headquarters office manager and the central point of contact for all office activities and events. This position additionally supports Finance, IT, HR, Legal, Sales, Network Control Center, Product, and Marketing with vendor invoicing, purchase order processing, and related administrative tasks.

Duties and Responsibilities

  • Enter requisitions to generate purchase orders for new contracts and statements of work.
  • Process and track invoices associated with new and existing purchase orders, including recurring billing.
  • Manage invoices for services not covered by purchase orders, ensuring proper routing and timely processing.
  • Partner with Business Planning and Capital teams to ensure accurate budget and account coding on all purchase orders and invoices.
  • Coordinate and support large-scale events including team meetings, all-hands sessions, holiday events, training, vendor meetings, and offsite gatherings.
  • Maintain office supply inventory for the Bethpage headquarters, including cafeteria and conference room needs.
  • Coordinate office repairs and maintenance, submitting and tracking tickets with Facilities for equipment and operational issues (e.g. copy machines, coffee machines, doors).
  • Open, sort, and distribute incoming mail to the appropriate departments.

Qualifications/Requirements

  • 2-4 years of experience in office administration, business operations, finance support, or a similar coordinator role.
  • Experience with purchase order and invoice processing, including requisition entry and vendor coordination.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams) and comfort working in ERP/financial systems.
  • Excellent communication and interpersonal skills, with the ability to work cross-functionally and with all levels of management.
  • Strong attention to detail and accuracy in coding, documentation, and tracking financial transactions.
  • Ability to coordinate events and onsite activities, including scheduling, logistics, and vendor engagement.
  • Ability to maintain confidentiality when handling sensitive financial and departmental information.

This position is identified as being performed in/or reporting to company operations in New York State. The pay range at the time of posting in the specified locations is $52,000 - $60,000/year. Pay ranges are supplied in compliance with New York State law. Pay is competitive and based on a number of job-related factors, including skills and experience.
