Job Summary:

The Leave and Workers Compensation Administrator will manage FMLA, Short Term Disability, Long-Term Disability and Workers' Compensation leaves for corporate, distribution center, and retail employees. This includes approving and/or denying leave requests, reviewing medical documentation, tracking time off, coordinating with benefits billing for the collection of insurance premiums, coordinating with payroll to ensure appropriate salary continuation, follow up on physician certifications, monitoring return to work status and general communications with the employees and managers.

Also responsible for oversight of outsourced Workers Compensation program. Responsibilities include providing payroll data and working with claims adjusters and Genesco personnel to gather incident and job information. Also responsible for reporting payroll information and coordinating work comp premium payments.

Job Responsibilities:

  • Interpret and administer leave programs and policies in accordance with the applicable company policies and federal and state regulations (Workers' Compensations, FMLA, ADA, HIPAA, USERRA, Pregnancy Discrimination Act, etc.) to ensure compliance
  • Administer other leaves as required, including but not limited to personal, military and parental leaves
  • Overseeing the workers' compensation process, from claim reporting and coordination with third-party administrators to tracking case status and facilitating return-to-work.
  • Serve as primary point of contact for leave inquiries, educating employees and managers on the leave process and related policies
  • Develop, generate and manage leave reports and dashboards to inform management of leave data and trends
  • Develop and deliver leave-related training for employees, manager and Human Resources
  • Responsible for communication of employee leave status with managers
  • Review and facilitate decisions on work accommodations under ADA
  • Work closely with Payroll to accurate processing of leave pay for employees eligible for continued pay under short term disability plans
  • Responsible for reporting and paying work comp premiums for Canadian provinces and monopolistic US states and territories.
  • Responsible for management of long term disability vendor, and any other leave administration vendors
  • Responsible for review and update of leave plan documents and communications to ensure accuracy and compliance
  • Maintain all employees' files related to workers' compensation and leave
  • Manage benefits payments and processes for employees out on work comp and other leaves.
  • Lead compliance related projects, as directed by Benefits Manager or Director of Benefits
  • Identify and implement process improvements as related to leave administration, workers compensation and to the benefits department as a whole
  • Works closely with employees, leadership, Third-Party Administrators, Urgent Care, legal counsel, Physicians, case assigned adjusters, Nurse Case Managers, the Department of Labor, and various departments to identify and implement modified duty assignments.
  • Maintains compliance with OSHA reporting (i.e., maintains an accurate tracking system, records, and logs to enable compliance with OSHA recordkeeping and annual filing requirements and reporting to the Department of Labor as required annually, along with compliance with state workers' compensation laws, and accreditation standards.
  • Responsible for maintaining current knowledge of federal and state leave laws and regulations, proposing revisions to plans, documents, policies and communication to ensure compliance

Job Requirements:

  • 5+ years leave administration experience
  • Associate's degree
  • Strong customer service orientation
  • Experience using Ultimate Software or similar HRIS systems (preferred).
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and prioritize daily workload.
  • Excellent knowledge of Microsoft Office
  • Ability to manage and maintain confidential information related to HIPPA and data protection
  • Ability to manage a high volume workload
  • Excellent oral and written communication skills, organizational skills, and problem solving skills
