| Essential Job Duties |
The
Facilities Purchasing Supervisor plays a vital role in keeping NC State University's campus running smoothly. This position leads and coordinates procurement activities that support the maintenance, repair, and operational needs of the Facilities Division-helping ensure that university property is well cared for and public funds are used responsibly.
In this role, you'll combine leadership, problem-solving, and procurement expertise to guide a dedicated team, support a large and diverse customer base, and navigate state and university purchasing requirements. Key responsibilities and duties include but are not limited to:
- Supervise, schedule, and support Facilities Purchasing staff, including full-time and temporary employees, to ensure consistent and high-quality procurement services.
- Provide day-to-day leadership, coaching, and performance oversight to promote accountability, collaboration, and professional growth.
- Ensure continuity of purchasing operations by serving as a backup for team members and addressing workflow needs as they arise.
- Oversee the processing of more than 10,000 purchase transactions annually to support the operational needs of the Facilities Division.
- Manage the full lifecycle of purchase orders from requisition through receipt and closeout within financial and procurement systems.
- Enforce compliance with North Carolina State purchasing laws, university regulations, and Facilities Division procedures.
- Review, validate, and administer non-capital and non-informal contract purchase orders to ensure accuracy and fiscal responsibility.
- Maintain complete and compliant procurement documentation to support audits and state appropriation requirements.
- Advise Facilities Division staff on appropriate purchasing methods, required documentation, and internal approval processes.
- Support strategic sourcing efforts to secure best value in cost, quality, and availability of goods and services.
- Serve as a primary point of contact between vendors, internal customers, and University Procurement to resolve purchasing and contractual issues.
- Collaborate with Facilities Accounting, the Asset Management (AiM) team, and the Facilities Warehouse to align procurement activities with divisional priorities.
- Monitor purchasing activity to ensure the university's financial position is accurately reflected in procurement and financial systems.
- Identify opportunities to improve procurement efficiency, strengthen internal processes, and achieve both immediate and long-term cost savings.

| Other Responsibilities |
- Coordinating with Facilities Business Systems and supporting end users to allocate purchases to an appropriate work order that matches the purpose and funding source intent
- Ensuring appropriate project IDs are used for every purchase to ensure correct cost recovery.
- Serving as a facilitator between end users, University Procurement, and vendors to ensure all parties' needs are met, and procurement regulations are satisfied
- Attending training and meetings; coordinating/leading Facilities purchasing training for new and promoted employees in the Facilities Workorder and Financial systems.
- Other duties as assigned.

Qualifications
| Minimum Education and Experience |
Bachelor's degree; or Associate's degree and two years of related experience; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

| Other Required Qualifications |
- Ability to coordinate highvolume procurement workflows, manage purchase order lifecycles, and maintain accurate financial and operational records across a large service environment.
- Ability to change priorities quickly and complete all projects timely and accurately
- Ability to communicate clearly and effectively to a range of audiences
- Supervisory training and/or experience

- Knowledge of NCSU purchasing policies and regulations
- Knowledge of Facilities Division purchasing policies and procedures
- Knowledge of State Term Contracts, National Consortium Contracts and NC State University Convenience Contracts
- Experience with AiM and PeopleSoft's purchasing functions
