Summary

Responsible for the daily coordination of complex, multi-functional administrative, technical, and business support activities to ensure efficient office operations. Drives efficient administrative operations and supports professional and responsive service delivery. Supports director's priorities through accurate, timely, and professional administrative execution.

Pay Range: $22.16 - 27.74(Depending on qualifications and experience)

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Serve as lead administrative support member for day-to-day multifunctional business and administrative functions.

  • Respond to customer concerns through answering telephone calls, e-mails or face-to-face communication

  • Manage customer service requests in designated systems; coordinates with functional leads to facilitate timely resolution and closeout of requests

  • Leads various project coordination functions to support project delivery

  • Processes invoices, prepares expense reports, and initiates purchasing requisitions

  • Purchases various goods and services to support department administrative operations

  • Develop process workflows and process assets for various department functions; tracks and reports data for various department programs

  • Lead or support department employee engagement initiatives and public outreach events

  • Coordinates sensitive, confidential human resources items such as disciplinary issues, employee performance, compensation or other personnel-related issues.

  • Coordinates department proposals for placement on City Council agendas

  • Supports preparation of annual department CIP and operating budgets

  • Works with other city departments to facilitate activities that support department business operations

  • Provides administrative support to the department director

  • May be required to work nights, weekends, and holidays to support response to citywide incidents or special initiatives.

Minimum Qualifications

  • High School Diploma or General Equivalency Diploma (G.E.D.)

  • 5 years related experience

Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.

Preferred Qualifications

Education/ Experience

  • Associate's degree in Accounting, Business, Finance or related field

  • 5-8 years administrative experience in a public sector environment

Knowledge, Skills & Abilities

  • Knowledge of standard business/administrative practices and procedures

  • Knowledge of proper grammar, spelling, and punctuation appropriate for business.

  • Advance skill operating a personal computer and standard business software applications

  • Excellent customer service and telephone etiquette skills

  • Strong organization skills are essential for success in this position, with strong attention to detail.

  • Proficient oral and written communications skills

  • Ability to type 40 words per minute

  • Ability to deal tactfully and professionally with the public and various business partners in normal, difficult, and unusual situations.

  • Ability to multi-task, while successfully balance competing priorities in a fast-paced environment

  • The ability to adapt comfortably through complex and varied organizational process, procedural and people-related dynamics is essential for success in this position.

  • Ability to work collaboratively with employees, other city departments, and various stakeholders

  • Ability to handle sensitive and confidential records and information with care

Licenses and Certifications

  • Valid Class C Texas driver's license
