Job Summary:

Intermediate Professional:

Project Coordinators support the planning, coordination, and tracking of departmental projects to ensure milestones, deliverables, and documentation are managed effectively. They assist with departmental projects and operations, supporting the development of project management tools and documentation, monitoring progress, maintaining timelines, and preparing materials to help keep stakeholders informed throughout the project lifecycle. Work is performed in alignment with the department's vision and goals across its mission areas of Education/Training, Research, Clinical Care, and Outreach/Advocacy.

Project Coordinators provide operational and administrative support to Associate Project Managers and Project Managers. This role contributes to successful project execution and operational efficiency through strong organization, follow-through, and communication. They maintain project documentation systems, track action items, coordinate cross-functional meetings, and compile reporting materials. The position manages smaller initiatives independently; work for larger initiatives is performed under guidance, with increasing autonomy based on demonstrated competence.

This position supports projects aligned with established project management best practices and methodologies, including waterfall, agile, and hybrid. They will serve on cross-functional project teams that execute strategic objectives, key initiatives, or operational goals. The overarching goal for the Project Coordinator is to aid the department in improving the effectiveness and efficiency of services delivered via transparent project execution. This position reports to the PMO Lead and is exempt from the State of Colorado Classified Staff system.

Senior Professional:

Associate Project Managers are responsible for independently leading departmental projects to ensure they are completed on time, within scope, and within budget. They develop project plans, coordinate resources, monitor progress, analyze performance data, and maintain consistent stakeholder communication throughout the project's life. Associate Project Managers are utilized on a wide variety of projects, ranging in size. Depending on size and complexity, they may be responsible for a single project or multiple projects. All work is conducted in alignment with the department's strategic vision and goals across the mission areas of Education/Training, Research, Clinical Care, and Outreach/Advocacy.

Associate Project Managers are accountable for the full lifecycle management of low-to-moderate complexity initiatives. They exercise discretion, analytical judgment, and independence in defining scope, identifying risks, synthesizing financial and operational data, and recommending solutions. Their work is performed with general direction from PMO Leadership, with increasing autonomy based on demonstrated competence.

This position is responsible for managing projects in alignment with Project Management best practices and methodologies, including waterfall, agile, and hybrid. They will lead and/or serve on cross-functional project teams that execute strategic objectives, key initiatives, or operational goals. The overarching goal for the Associate Project Manager is to aid the department in improving the effectiveness and efficiency of services delivered via transparent project execution. This position reports to the PMO Lead and is exempt from the State of Colorado Classified Staff system.

Key Responsibilities:

Intermediate Professional:

Project Coordination and Execution Support

  • Assist in developing and maintaining project plans, timelines, milestone trackers, etc.

  • Work with teams, leaders, and upper-level project managers throughout the Department of Psychiatry, its five divisions, and partner institutions to support the development of project management documentation and tools, including detailed project plans.

  • Actively support logistics for project implementation, including stakeholder communications and task coordination.

  • Monitor progress against timelines and proactively follow up with team members regarding deliverables.

  • Identify potential risks and escalate them to the Program Director as appropriate.

  • Compile project status updates and reporting materials.

  • Update dashboards and tracking systems to ensure timely and accurate reporting.

  • Support data collection and organization of financial, operational, clinical, and quality metrics.

  • Maintain project documentation organization and ensure accurate version control.

  • Coordinate meetings, including scheduling, preparing agendas, documenting meeting notes, and tracking action items.

Administrative and Operational Support

  • Maintain shared project management tools and tracking systems.

  • Support documentation and refinement of departmental project management processes and templates.

  • Assist with project intake tracking and documentation.

  • Provide logistical support for change management activities.

Senior Professional:

Project Leadership and Delivery

  • The position will involve initiating, planning, executing, monitoring, and controlling projects. This includes:

  • Work with teams, leaders, and upper-level project managers throughout the Department of Psychiatry, its five divisions, and partner institutions to create well-thought-out project management documentation and tools, including detailed project plans.

  • Lead teams through the execution of project plans, resulting in the successful delivery of project outcomes on time and within budget.

  • Report outcomes and quality measures, developing effective communication structures to keep all project teams and the Department informed of progress, and publicly celebrating successes.

  • Identify and disseminate data as necessary to inform the projects. This may include financial data, behavioral health billing and collection data, clinical data such as clinical outcomes, and quality data.

  • Create business intelligence tools and systems as needed to report on key metrics. Gather critical information from meetings with various stakeholders and produce useful reports and recommendations.

Administrative and Strategic Support

This position will be administrative and strategic. This includes:

  • Identify opportunities for improving and standardizing project management processes across the Department; support and/or lead the implementation and change management efforts necessary to continuously improve project management practices.

  • Contribute to the development of project management governance structures, templates, and reporting systems.

  • Cultivate relationships with colleagues, including Directors and Executive teams-across divisions and institutions, and work collaboratively and transparently to assist those teams in developing and prioritizing projects.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Professional:

  • Bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

  • 1+ year of diverse and progressively responsible experience with sponsored project coordination, management, or administration.

Senior Professional:

  • Bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

  • 2+ years of extensive, diverse, and progressively responsible experience with sponsored project coordination, management, or administration.

    • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.

    • An advanced degree (Masters or Doctorate) may be substituted for experience on a year for year basis if the degree is in a field of study directly related to the work assignment.

Preferred Qualifications:

Intermediate Professional:

  • Experience in utilizing project management tools such as Microsoft Project, JIRA, Basecamp, Smartsheet, etc.

  • Direct responsibility for sponsored project coordination, management, or administration.

  • Experience working in diverse settings, preferably in healthcare, academic medicine, or higher education.

Senior Professional:

  • Experience in utilizing project management tools such as Microsoft Project, JIRA, Basecamp, Smartsheet, etc.

  • Direct responsibility for sponsored project coordination, management, or administration

  • PMP, CAPM, or equivalent comprehensive project management certification recognized by the PMO leadership. In lieu of a certification, be willing to acquire certification within 24 months of hire date.

  • Experience working in diverse settings, preferably in healthcare, academic medicine, or higher education

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

  • INTERMEDIATE PROFESSIONAL: $52,773 - $67,127

  • SENIOR PROFESSIONAL: $57,052 - $72,570
