Primary Purpose of Organization Unit
The Mail Services Department operates as a unit of the university and reports to the Director of Purchasing and Business Services. The department is responsible for processing all United States Postal Service ( USPS) mail for faculty, staff, and residential students. This includes the daily retrieval of incoming mail and the delivery of outgoing mail to the Pembroke Post Office, as well as the distribution and collection of mail for faculty, staff, and residential students.
Mail Services provides postage sales to the university community, including faculty, staff, and students, and manages the receipt, delivery, and tracking of packages shipped via USPS, UPS, FedEx, and other courier services. In addition, Mail Services serves as the university's central shipping and receiving operation, offering services through United Parcel Service, Federal Express, DHL, common carriers, and motor freight, while providing oversight of the Central Receiving and Delivery Warehouse.
Mail Services also operates as the county's only authorized U.S. Department of State Passport Acceptance Facility, providing passport services to students, faculty, staff, and members of the general public.

  • This position will serve as a backup to the vending operations as well.
  • This position will have additional responsibilities assigned in Purchasing Services and Business Services associated with accounting, invoicing, and financial reconciliation in all areas not limited to just in Mail Services.

Primary Purpose of Position
The primary purpose of the Mail Services Support Services Associate is to support critical passport acceptance operations and campus-wide shipping and mailing services while ensuring the timely, accurate, and secure delivery of mail and packages to students, faculty, and staff. This position plays a key role in operating the TZ Locker system and the ShipRite point-of-sale retail system to manage mail distribution, package tracking, and customer-facing shipping transactions.
This role supports daily passport acceptance appointments in compliance with U.S. Department of State requirements, providing essential operational coverage for a high-demand service that serves the university and surrounding community. The position also assists with the retrieval and delivery of USPS mail and packages to and from the local post office, coordinates with FedEx, UPS, and other approved couriers for the pickup of outgoing and express shipments, and ensures accurate data entry for Central Receiving and Mail Services reporting.
Additionally, this position provides operational support to Central Receiving as needed, including assistance with inbound freight, deliveries to campus departments, and the preparation of daily and weekly activity reports. The successful execution of passport services and shipping and mailing operations is highly dependent on this role, making it essential to maintaining service continuity, compliance, and customer satisfaction.
This position will be the backup to vending and copier operations which is critical to the department and additional responsibilities in accounting operations not limited to Mail Services.
Job Description
This position supports campus Mail Services by preparing and processing domestic and international mail in compliance with USPS regulations. Responsibilities include operating mail metering and tabbing equipment, managing USPS permits and accounts, and ensuring accurate postage rates and discounts are applied. The role schedules and conducts daily passport appointments as a certified Passport Acceptance Agent and provides training to campus departments on Mail Services offerings and requirements.
The position processes outgoing packages, manages student post office boxes, and operates postal point-of-sale and package tracking systems, including ShipRite, TZ Locker, and Q-Trak. Duties also include reconciling accounts, performing daily cash reconciliations, maintaining system records, and troubleshooting equipment and system issues. Other related duties are performed as assigned.
Management Preference
Previous retail experience is strongly preferred, as this position fulfills multiple roles within a financial and customer-facing environment. Demonstrated experience in high-volume customer service settings, administrative support, and cash-handling processes is highly desirable. Familiarity with U.S. Postal Service operations or prior postal experience is also preferred, as it would support efficient and compliant execution of the position's responsibilities.
Experience in Accounting is preferred.
Lic or Certification required by statute or regulation
Valid NC Driver's License required and Forklift Certification preferred.
