Job Description

MAJOR PURPOSE OF THE POSITION


The Legal Aid Society's Civil Practice is seeking a Practice Coordinator to support the Civil Practice Administration team. The Practice Coordinator will join a team that provides support to a staff of 500+ on administrative, personnel, facilities, and IT issues. The Practice Coordinator will report to the Deputy Director of Practice Operations.




ESSENTIAL DUTIES/RESPONSIBILITIES


Practice Operations



  • Provide day-to day support for all Civil Practice operations
  • Under the direction of the Director and Deputy Director of Practice Operations and Administration develop efficient systems and processes for the improvement of daily Practice operations
  • Liaise with the Finance department regarding invoices, employee reimbursements, check requests and related workstreams
  • Complete special projects regarding Practice operations including but not limited to maintaining records, updating team SharePoint pages and resources, and tracking trends
  • Work alongside the Civil Practice Administration, Purchasing, Facilities, Finance and Grants and Contracts teams to monitor all Practice specific other than personnel expenses (OTPS)
  • Support all aspects of Civil staff recruitment and onboarding in tandem with the Practice Operations and Administration team, citywide borough-based teams, and Talent Acquisition
  • Coordinated all personnel related changes/requests with Human Resources
  • Under the direction of the Director and Deputy Director of Practice Operations and Administration, track, coordinate IT related requests, including device requests
  • Assist the Practice's Operations and Administration team with office space utilization across all the borough offices

QUALIFICATIONS


Required qualifications:



  • Bachelor's degree or an equivalent combination of 4+ years of post-secondary education and/or relevant work experience
  • Excellent organizational skills
  • Strong written and verbal communication skills and ability to work in a team setting with follow-up and collaboration across units.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.
  • Demonstrated ability to gather data accurately, compile information, and maintain detailed records.
  • Excellent computer skills, including Microsoft Office 365 and especially Excel; ability to work with databases.
  • Excellent judgment and ability to handle sensitive or confidential information
  • Previous administrative experience



Preferred qualifications:



  • Experience or commitment to advocacy on behalf of low-income individuals
  • Proficiency in Spanish or another language other than English preferred but not required

Physical, environment, travel, and other duties required:



  • Mostly sedentary, significant time using a computer and monitor; communicating and meeting using video.
  • May or will require travel within NYC, across the five-borough region.



SALARY AND BENEFITS


The salary range represents a good faith estimate of the range we expect to pay for this role. The actual salary offered may vary depending on many factors, including but not limited to job-related knowledge, skills, and experience, as well as collectively bargained salary steps for unionized roles.



Salary Range: $87,680 - $92,680
