Provide professional office administration and innovative support services for the Ovivo Phoenix Service Center. Completes assigned activities under the direction of the Service Center Manager.

WHAT YOU WILL DO:

  • Organize and prioritize work daily with flexibility to change plan as needed according to Service Center Manager requirements and workload.
  • Type, format and produce reports, correspondence, memos, and other documents of a technical or confidential nature.
  • Correspond between departments and offices to ensure that documentation is appropriate, adequate, and correct.
  • Maintain direct contact with key personnel in other departments and offices.
  • Establish and maintain file systems and computer databases appropriate to the department.
  • Collects, submits, and tracks project time reports.
  • Support finance team with obtaining proper approval signatures and filing of vendor/supplier invoices.
  • Solicit pricing quotations from vendors/suppliers and preparer Material Requests,
  • Provide support by entering Material Request form information into Syteline and prepare purchase orders.
  • Assist with any special assignments or projects as requested/required.
  • Maintain sufficient level of office supplies to ensure optimum efficiency within all departments.
  • Prepare and coordinate envelopes and small boxes for shipment.
  • Performs all work in accordance with established safety procedures.
  • Keeps workspace and common areas in a neat and orderly fashion.
  • Other duties may be assigned as required.

Position Details

  • The position will be in our Mesa, AZ Service Center location. The position is full-time and non-salaried (hourly).
  • The base hours of work are a regular 40-hour work week, Monday to Friday, 8:00 AM to 5:00 PM with the potential for extended work hours based on the business needs.

Minimum Qualifications:

  • High School Diploma
  • 3 years of administrative experience in production manufacturing, design firms,
  • No immigration sponsorship available for this position

Preferred Qualifications:

  • Associate or Bachelor's Degree from a college or university preferred
  • Proficient in office computer systems including Microsoft Office: Word and Excel and PowerPoint.
  • Experience with Syteline a plus.
  • Must possess the ability to work on several tasks at one time and to establish priorities with accuracy and dependability.
  • Able to respond effectively to sensitive inquiries and make decisions requiring the use of different variables applied to standard situations.
  • Regular use of independent judgment in the performance of job duties.

Annual or Hourly Compensation Range:

The pay range for this position is $20 - $24/hr. Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
