Wieland is hiring a Quality Management Systems Associate. The Quality Management Systems Associate will be responsible for document control activities, training matrix administration, compliance monitoring, internal audit participation, and SharePoint coordination. The associate plays a critical operational role in sustaining QMS integrity and ensuring documentation accuracy, training compliance, and floor-level adherence to procedures. The position focuses on execution, verification, and coordination activities to ensure the QMS and training systems remain organized, compliant, and audit-ready at all times.

This role is located in Pine Hall, NC and will be fully on-site.



Responsibilities

Quality Management Systems Associate Responsibilities:

Document Control Administration

    Maintain document control system including procedures, work instructions, forms, and records.
  • Ensure proper version control, distribution, and archiving controlled documents.
  • Coordinate document updates and approvals per established QMS process.
  • Monitoring document change requests and ensure timely closure.

Weekly Past-Due Document Review

  • Conduct Monday review of past-due documents.
  • Send notifications to document owners for required updates.
  • Track and follow up on overdue documentation to ensure timely resolution.

Monthly Training Matrix Administration

  • Maintain and update training matrices for departments.
  • Track employee training status and identify gaps.
  • Coordinate with department supervisors to ensure required training is completed.
  • Prepare monthly compliance reports for review by the Coordinator and Quality Manager.

Document Inspections & Floor Verification

  • Perform routine floor-level document inspections to verify current revisions are in use.
  • Ensure obsolete documents are removed from the floor.
  • Verify work instructions match operational practice.
  • Report discrepancies and support corrective action follow-up.

Internal Audit Participation (ISO & AS)

  • Serve as an active member of the Internal Audit Team.
  • Conduct audits under guidance of the Coordinator.
  • Document findings and verify corrective actions.
  • Assist in maintaining audit schedules and records.

SharePoint Coordination

  • Maintain SharePoint document libraries and folder structures.
  • Ensure controlled documents are accessible and properly organized.
  • Support improvements to SharePoint workflow and usability.
  • Assist departments with document retrieval and navigation.

Compliance Support

  • Support ISO & AS compliance monitoring activities.
  • Assist in gathering documentation for external audits.
  • Track corrective actions and maintain audit evidence files.

Continuous Improvement Support

  • Identify opportunities to improve document flow, training tracking, and floor compliance.
  • Support process improvements within the QMS framework.

Quality Management Systems Associate Qualifications:

  • High school diploma or GED required; Associate degree preferred.
  • 1-3 years of experience in manufacturing, administrative support, or document control.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Excellent communication and interpersonal skills to collaborate effectively across teams and departments.
  • Strong organizational skills with high attention to detail.
  • Strong problem-solving capabilities.
  • Strong written and verbal communication skills.
  • Proficiency in Quality Management Systems or regulated manufacturing environments.
  • Proficiency in Share Point.
  • Familiarity in SAP.
  • Training development and facilitation skills, with experience in instructional design and employee training programs.
  • Internal auditor training (can be provided after hire).
  • Good understanding of ISO 9001, ISO 14001, ISO 45001, & AS 9100.
