Posting Summary
Rutgers, The State University of New Jersey is seeking a Administrative Coordinator for the Department of Chemistry and Chemical Biology ( CCB). Reporting to the Assistant Director, Administrative Operations, the Administrative Coordinator plays a critical role in providing comprehensive and confidential support for human resource functions while also carrying out a wide range of administrative activities that contribute to initiatives that enhance the department's operational effectiveness and support the large and complex Department of Chemistry and Chemical Biology ( CCB).

Among the key duties of this position are the following:

  • Performs duties including visa processing and courtesy appointments (visa/non-visa).
  • Provides support for faculty promotion process and appointments/reappointments and support for academic activities.
  • Develops and disseminates marketing communications via website, email and prepares digital content and materials as needed; updates departmental website content.
  • Performs other administrative duties as assigned in support of department operations.

Qualifications






Minimum Education and Experience

  • Bachelor's degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration and general human resources principles and practices.
  • A minimum of two years of relevant experience in administrative function.

Required Knowledge, Skills, and Abilities

  • Computer literacy.
  • Ability to work independently and communicate effectively with the diverse University population.
  • Excellent communication and organizational skills.
  • Ability to attend to multiple demanding priorities.

Preferred Qualifications

  • Ability to work in a fast-paced, confidential and collaborative environment, and perform multiple concurrent tasks with frequent interruptions.
  • Experience in higher education and/or with Rutgers systems and processes.
  • Current driver's license and vehicle to attend meetings and other events.
  • Experience working with Visa processing and familiarity with USCIS rules and regulations.
  • The ability to utilize website content management programs and various software such as Photoshop and Publisher.
  • Experience that demonstrates knowledge and understanding of administration in an academic instructional and research setting.
  • Experience with Rutgers University system applications, such as Peoplesoft HCM and Sunapsis.

Equipment Utilized
  • Ability to utilize applications such as Word, Excel, PowerPoint, Outlook, electronic calendar, internet browsers, Adobe Acrobat, publishing software, website content management systems, social media, and data tracking tools.
Physical Demands and Work Environment

  • Sitting, standing, typing, video calls, phone calls, ability to travel to other offices on campus.
  • Must be available during core business hours, and occasionally after-hours to assist with events. Must be capable of problem solving in a fast-paced work environment.
  • Ability to deal with frequent interruptions outside of regular breaks.
  • Ability to effectively communicate regularly with faculty, staff, students and scholars and follow up on outstanding requests with respect for institutional deadlines, visa processing wait times, etc.
