What you'll do:
- Drive the purchase-to-pay process by creating and submitting purchase requisitions, ensuring compliance with financial policies and organizational guidelines, and meticulously tracking through approval and fulfillment.
- Act as a primary liaison with external vendors, coordinating orders, resolving logistical challenges, and guaranteeing the timely delivery of services and materials crucial for security programs.
- Execute daily operational workflows with precision, leveraging internal procurement, finance, and tracking tools to maintain accuracy and efficiency.
- Support robust budget tracking and forecasting by maintaining accurate records, reconciling expenditures, and proactively flagging variances to leadership.
- Develop and maintain comprehensive operational reports, dashboards, and executive-ready materials to provide leadership with clear visibility into program status, spend, and vendor performance.
- Foster strong cross-functional partnerships with Finance, Procurement, and Security Program Managers to align on process updates, policy changes, and standard operating procedures.
- Proactively identify and address process inefficiencies, risks, or blockers, proposing and implementing actionable solutions to enhance workflow efficiency and reduce operational friction.
- Maintain meticulous documentation to ensure audit readiness, compliance with regulatory requirements, and seamless knowledge continuity.
Must-Have Qualifications:
- Bachelor's degree combined with 3-5 years of professional experience in business operations, program coordination, finance operations, or procurement, ideally within technology or corporate environments.
- Hands-on expertise with purchase-to-pay processes, including requisition creation, approval tracking, and coordination with vendors and finance teams.
- A strong process-oriented mindset, demonstrated by a proven ability to drive consistency, accuracy, and efficiency across operational workflows.
- Exceptional prioritization and time management skills, with the ability to effectively manage multiple tasks in a fast-paced, deadline-driven environment.
- Strong verbal and written communication skills, capable of tailoring information for diverse audiences, including leadership and cross-functional partners.
- Proficiency with productivity and business tools (e.g., spreadsheets, reporting tools, procurement systems) and a rapid ability to learn new platforms.
- Demonstrated ability to build and maintain collaborative relationships with both vendors and internal partners, ensuring alignment and successful execution.
Nice-to-Have Qualifications:
- Background in management consulting, with experience in process improvement, operational analysis, or client-facing project delivery.
- Experience supporting technology organizations, particularly in information security, in an operational or business partner capacity.
- Exposure to budget management, cost tracking, or financial reporting within a corporate setting.
- Familiarity with enterprise procurement systems, vendor management processes, or enterprise finance tools.
- Proven ability to handle sensitive or confidential information with the utmost integrity and discretion.
- Interest in or exposure to AI-enabled tools for workflow automation or enhancing operational efficiency.
