Responsibilities:
- Master complex calendar management for multiple design leaders, meticulously coordinating meetings, team interactions, and internal design reviews with unparalleled precision.
- Design and implement comprehensive scheduling systems that significantly boost team productivity and proactively prevent conflicts.
- Serve as the central communication hub, expertly facilitating critical information flow between design leaders, team members, and various departments.
- Strategically prioritize and track design team projects, ensuring all critical deadlines are met and resources are optimally allocated.
- Orchestrate intricate domestic and international travel arrangements, manage expense reporting, and handle administrative documentation for design leadership.
- Proactively manage and adjust daily schedules, demonstrating flexibility and exceptional problem-solving skills to navigate last-minute changes and conflicting appointments.
- Expertly coordinate with schedules of other executives and assistants across relevant cross-functional teams.
- Balance and prioritize a diverse range of projects and tasks simultaneously within a fast-paced environment, maintaining impeccable attention to detail, accuracy, and timeliness.
- Work autonomously, take initiative, and consistently complete tasks, often foreseeing potential issues and proactively implementing solutions.
- Manage correspondence, redirecting as needed to appropriate teams.
- Organize and set up large team meetings, including catering arrangements and off-site events.
- Provide essential support for office moves and general studio needs as they arise.
